Job Description

Job Summary:
Responsible for maintaining budgeted census levels in their community through coordination of external and internal marketing efforts and for ensuring that residents and families experience a high level of customer service through an effective admissions process.
Job Duties/Responsibilities :
  • Meet the community's occupancy goals.
  • Take inquiry calls from hospitals, families, etc., and provide quality appointments to include warm-up, presentation, tour and closing.
  • Ensure that responses to sales inquiries are handled properly, timely and with appropriate follow-up.
  • Perform follow up, to include: telephone contact, personal correspondence, and on-site appointments.
  • Properly and accurately report all inquiries and marketing sales calls.
  • Maintain a close working relationship with the Executive Director to ensure appropriate and efficient decisions about prospective move-ins.
  • Know unit availability at all times. Demonstrate a sense of urgency re: occupancy goals. When move-in determinations are made, work with nursing, housekeeping and social services on appropriate move-in details.
  • Generates sufficient referral activity to meet community's occupancy goals by making new and servicing existing relationships with legal and financial professionals, senior organizations, assisted living and senior housing facilities, appropriate special interest groups, churches and other community contacts.
Develops and maintains relationships to advise them of programs and services the community can provide.
  • Actively participates in daily morning meetings to alert appropriate staff members of projected admissions, room changes, discharges and appointments/tours.
  • Prepare appropriate move-in paperwork and communicates special needs of new move-ins to staff to ensure a smooth transition.
  • Periodically evaluate community move-in processes for improvement.
  • In conjunction with Executive Director, train and coordinate appropriate staff to serve as back-up in above functions whenever the sales staff is unavailable - out of facility, evenings, weekends, etc.
  • Maintain a working knowledge of Federal and State regulations. Provide assistance with new employee orientation on these topics and the admission process.
  • Prepare all reports as required. Monitor trends for inquiry, move-ins and occupancy.
  • Maintain a database of referral contacts and community resources along with knowledge of industry trends, local hospital and competitors, and legislative/regulatory issues. Communicate this information with Executive Director.
  • Continually monitor and evaluate customer satisfaction. Customers include new move-ins, families, and community referral sources. Share results with the management team and others as appropriate to develop action plans as needed.
  • Research, suggest, and develop niche services to differentiate their community from competitors.
  • Monitor and participate in local health fairs, senior fairs, general community events, civic groups and professional organizations.
  • Coordinate the development of community materials such as brochures and advertising through completing media requests. Refers yellow page advertising to corporate marketing. Review all advertising and promotional items with corporate marketing prior to ordering.
  • Serve as a member of the internal sales and marketing team whose purpose is to enhance resident and community relations.
  • Develop and implement quarterly sales and marketing plan independently or in conjunction with team where applicable. Monitor and track results.
  • Monitor and stay within allotted marketing budget.
  • Develop and implement special events and presentations targeted at community education, establishing and maintaining status for the community as the expert on Assisted Living Services in the community.
  • Exhibit excellent customer service skills at all times.
Education/Qualifications/Skills:
  • Education or experience in customer service or health care is desirable, and at least one (1) year experience in a health care facility is preferred.
  • Knowledge of and special sensitivity to the needs of the aging.
  • Project a confident, creditable professional image.
  • Ability to communicate effectively, both orally and in writing, and have the ability to make presentations before small or large groups.
  • Have knowledge of reimbursement programs from payer sources and managed care referral processes.
  • Ability to understand advertising, collateral material design/layout/production is desirable.
  • Ability to be a good listener and demonstrates empathy toward others.
  • Ability to communicate effectively, both orally and in writing, and have the ability to make presentations before small or large groups.
  • Ability to form working relationships with multiple and varied people and organizations and can relate professionally with all levels of facility staff.
  • Demonstrate self-confidence and creativity.
  • Ability to be self-motivated and goal oriented and able to work independently.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Have the level of personal computer skills needed to accomplish the job.
  • Must meet the state's licensing requirements for the class of the vehicle being operated and have a valid license.
  • Ability to maintain regular, punctual attendance and able to work flexible hours, including occasional weekends and evenings, as marketing and admission activity dictates, as well as weekend on-call responsibilities.
  • Ability to present a well-groomed, confident, and creditable professional image at all times.
  • Valid driver's license
Physical Requirements/Working Conditions:
Ability to remain stationary 50-100%; position self to exert 10-30lbs of force or to move objects; move about to access office cabinets, machinery, etc.; operate a computer or other office machinery; frequently communicate and exchange accurate information; perceive visual acuity to operate office machinery; work around varying internal and outdoor environmental conditions such as temperature changes, noise, movement, atmospheric conditions, etc. 25-50% of time will be spent traveling to hospitals, offices and community centers. Subject to interruptions, noise, and odors on a daily basis. Works at a computer terminal--trained in safe work practices to prevent injury. Low risk of exposure to infections--trained in hand-washing practices, Access to protective equipment if needed.
