Job Description

Overview:
FULL TIME
Granite Peak Multifamily is an organization devoted to the management of multifamily real estate. Our mission is to manage and improve multifamily real estate properties to positively impact the lives of our residents as well as the communities in which we operate while ensuring solid financial performance the ownership groups who own the properties we manage. Granite Peak Multifamily is responsible for the stewardship of housing units located in several western states.
DUTIES AND RESPONSIBILITIES
The Executive Assistant to Regional Manager reports directly to the Regional Manager and is fundamentally responsible for the success of all aspects of the property management operation of multiple properties across the Western United States. The Executive Assistant to Regional Manager is responsible for assistance in the handling of all aspects of property management while assisting with the oversight of multiple properties and the teams that run them, which include property managers, leasing agents, maintenance technicians, & porters. Position is full time and there is a strong opportunity for growth. Based in our corporate office in Bozeman, Montana this position may require infrequent travel to property locations. 1.
Leadership:
Assist with hiring, mentoring, and leading team members Assist with the completion of performance appraisals with team members Continuously spearhead & the development & refinement of policy & procedure within the company to reflect industry best practices 2.
Compliance:
Granite Peak Multifamily policy & procedure All applicable government regulations across property types All applicable lender regulations across property types 3.
Unit Leasing:
Assist in the oversight of the showing of available apartment units to prospective residents Assist, as necessary, in the preparation of leases & lease addendums & in their execution with prospective residents 4.
Resident Management:
Ensure we are doing everything necessary to drive a high level of resident satisfaction Prepare & distribute resident notices Manage service ticket lifecycle, ensuring resident satisfaction at all times. Assist with unit walkthroughs & inspections, as needed Oversee and handle resident inquiries Assist with unit walkthroughs & inspections, as needed Oversee and handle resident inquiries 5.
Property Maintenance:
Assist with the oversight of all aspects of preventive as well as responsive property maintenance Assist in the management of vendors in the completion of some types of maintenance tasks Ensure work orders are created & being effectively managed for all maintenance that is being done and that needs to be done in the future 6.
Office Management:
Answer telephones & return calls as appropriate Maintain office filing and storage systems Keep filing/document management system for electronic and paper documents organized & compliant with company & governmental agency file management requirements Scan documents, appropriately name & categorize, then filing in cloud storage system Validate and enter all bills in the system for payment through the accounts payable process Receipt payments & complete periodic bank deposits Monitor and order office supplies Distribute/file all incoming mail Perform errands that assist daily functions Maintain office in neat & orderly condition at all times 7. Perform other tasks, as assigned
QUALIFICATIONS AND SKILLS AND LICENSES
Essential Overall Skills Cheerful presence and strong people skills Superior phone skills Dependable Professional Enthusiastic Good organizational skills and record keeping (attention to detail is critical) Good oral and written communication skills Self-starter who can work independently. Technologically literate with strong computer skills including familiarity with Microsoft Word, Excel, and other commonly used software Beneficial Property management experience Team leadership experience Sales experience Appfolio or Other Property Management Software Experience Bookkeeping experience
Pay:
$57,034.24 - $65,000.00 per year
