Job Description

Overview The Sales Operations Manager serves as the operational backbone of Gore Electric Company's customer, manufacturer, and project coordination efforts. This role is responsible for ensuring responsive communication, organized project coordination, consistent CRM management, bid tracking, manufacturer coordination, customer scheduling, and operational continuity across the agency.
The role supports:
Utility customers Industrial customers Manufacturers Internal sales team Conferences and customer events Project tracking and coordination CRM and reporting systems This position is intended to improve responsiveness, reduce operational bottlenecks, create continuity, and support long-term scalability of the organization. Responsibilities
CORE RESPONSIBILITY AREAS 1.
Email & Communication Coordination Responsibilities Monitor shared company sales inboxes Ensure customer and manufacturer inquiries are acknowledged promptly Coordinate responses between Gore Electric team members and manufacturers Maintain follow-up lists for open customer requests Route technical and commercial inquiries appropriately Maintain communication continuity during conferences and travel Help ensure no customer or manufacturer communication is overlooked Typical Requests Delivery status requests Quote status requests Scheduling requests Manufacturer coordination Customer follow-up requests Engineering coordination requests Expectations Professional communication style Timely acknowledgment of incoming requests Strong attention to detail Ability to track multiple open items simultaneously 2. Quote & Bid Coordination Responsibilities Track RFQs and bid opportunities Maintain bid calendars and due dates Coordinate quote requests with manufacturers Track manufacturer quote progress Monitor utility/customer bid portals Maintain specification and addenda updates Organize quote packages and supporting documents Maintain visibility on active opportunities Assist with bid strategy coordination Platforms / Systems Microsoft Outlook Dynamics 365 CRM Utility procurement portals Customer bid sites Shared internal folders Expectations High organizational accuracy Awareness of bid deadlines Proactive follow-up with manufacturers Organized document management 3. Manufacturer Visit & Customer Coordination Responsibilities Coordinate with manufacturer travel schedules Schedule customer meetings and visits Coordinate Teams meetings and conference calls Build efficient customer visit itineraries Coordinate customer lunches and dinners Coordinate conference schedules and customer visits Assist with customer presentations and meeting preparation Typical Activities Scheduling utility meetings Coordinating manufacturer/customer introductions Organizing regional customer visits Coordinating tradeshow schedules Managing conference room logistics Expectations Professional customer interaction Strong scheduling and logistics management Ability to coordinate multiple organizations simultaneously 4. Project & Delivery Tracking Responsibilities Track awarded project status Coordinate delivery update requests Track shipment schedules Maintain project milestone visibility Coordinate factory communication Track delayed projects and follow-up items Assist with field service coordination Maintain customer project communication continuity Expectations Organized tracking systems Proactive communication Attention to timelines and milestones Ability to escalate issues appropriately 5. CRM & Opportunity Management Responsibilities Maintain Dynamics 365 CRM records Update opportunity stages Maintain customer and contact records Track manufacturer activity Track project opportunities Assist with reporting and dashboards Maintain territory/account ownership records Support CRM data consistency Expectations Strong data accuracy Consistent record management Organized reporting support Ability to learn CRM systems quickly 6. Commission Tracking & Reconciliation Responsibilities Track incoming commission payments Match commissions to projects/jobs Maintain open commission tracking reports Track unpaid commission balances Coordinate manufacturer payment follow-up Assist with commission reconciliation processes Maintain visibility on expected vs. received commissions Expectations Strong organizational skills Attention to accounting detail Consistent record keeping Ability to maintain confidential financial information 7. LinkedIn & Industry Visibility Support Responsibilities Monitor utility and manufacturer industry news Share company and industry updates on LinkedIn Assist with conference and customer visibility posts Support company marketing visibility Coordinate presentation and marketing materials Assist with manufacturer announcements and promotions Expectations Professional judgment Industry awareness Strong written communication Ability to maintain company branding consistency 8. Meeting & Relationship Coordination Responsibilities Coordinate Teams meetings and conference calls Schedule meetings between customers, manufacturers, and internal sales team Coordinate multi-party scheduling across organizations and time zones Prepare and distribute meeting invitations Track meeting action items and follow-up tasks Maintain visibility on upcoming customer/manufacturer interactions Typical Requests Manufacturer/customer strategy calls Utility engineering meetings Conference coordination Customer visit schedules Internal sales coordination meetings Expectations Professional communication Calendar coordination skills Attention to detail Ability to manage multiple schedules simultaneously 9. Conference, Tradeshow & Event Coordination Responsibilities Coordinate conference registrations Assist with hotel and travel logistics Coordinate customer dinners and events Assist with booth logistics and setup coordination Maintain conference schedules and itineraries Coordinate manufacturer/customer meeting schedules during events Typical Events
