Club Membership Administrator West Palm Beach, Florida Administrative Support 20826 Property Management Job Description Responsibilities We are seeking an exceptional, operationally precise Administrator for the Membership Office for a new private members' club in Downtown West Palm Beach who will serve in a key supporting role to the Director of Membership and Member Experience and to other executive team members. The club will open in 2029 but member admissions will be active as of May 2026. This position plays a critical role in ensuring a seamless client experience, and supporting sales, marketing, and membership activities. This is a high-trust, high-functioning position, requiring maximum discretion, social and intellectual agility, technological fluency, and an ability to engage with a sophisticated, discerning internal and external client base. The ideal candidate is highly organized, detail-oriented, and client-focused, with the ability to manage multiple priorities, anticipate needs, and operate effectively in a fast-paced, high-touch environment. Key Responsibilities Provide administrative support to the Club Membership Sales and Executive Teams Respond to inquiries with clarity, intelligence, and a deep understanding of the club offering and application process Manage sales team calendars, appointments, and client-facing activities, ensuring an organized, seamless experience for the prospect Support the Club Marketing Manager's activities including assisting in the planning and execution of sales events, member events and experiences, and promotional initiatives Coordinate, track, and proofread Club Member agreements and related legal documentation Maintain and manage membership data, reporting, and
CRM/BCMS
systems, including basic member preferences, sensitives, and expectations Manage marketing materials inventory and distribution Serve as liaison for the experience center, including reservations, presentations, IT setup, and catering coordination Support a high-touch, hospitality-driven member and client experience, including the execution of the club's pre-opening experience Ensure all processes are executed with accuracy, consistency, and absolute confidentiality and discretion Exercise sound judgment in all interactions, particularly with high-profile individuals Navigate nuanced interpersonal situations with professionalism and composure Contribute to an environment where execution consistently exceeds expectations Qualifications Requirements 5+ years of demonstrated experience supporting a sales team or working in a hospitality, real estate, or club environment Strong organizational and project management skills with the ability to manage multiple priorities Excellent written and verbal communication skills with a professional demeanor Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong interpersonal skills with a client-service and elevated hospitality mindset Ability to problem-solve independently and exercise sound judgment Ability to handle sensitive information with discretion Preferred Familiarity with CRM or membership management systems (e.g., BCMS) Experience coordinating events and marketing initiatives Working Conditions Full-time, in-office role based in West Palm Beach Standard business hours with flexibility for early mornings, evenings, or occasional weekend events
