Job Description

The Texas Music Educators Association (TMEA) is seeking candidates for a full-time Membership Manager to join our dedicated Austin-based staff as we work to support and advance excellence in music education across Texas. The Membership Manager is the primary point of contact for all membership inquiries and transactions. This position oversees membership processes, member data management, reporting, and convention registration. The ideal candidate is highly organized, data-driven, collaborative, and passionate about member service excellence. Applications close June 10, 2026, with an expected start date in July. The Administrative Director executes a wide range of responsibilities, including operational support and program management, including the following, as well as other duties as assigned. Operations Manage the day-to-day membership operations for the association. Manage and provide member support for the TMEA liability insurance service. Serve as a primary point of contact for questions and concerns from prospective and current members as well as from school business personnel. Support members accessing and updating their online member records. Complete manual data entry of membership transactions (new member, renewals, updates), including checks and purchase orders, and refunds. Coordinate with TMEA's Financial Manager on membership financial review and reconciliation. Process member magazine subscriptions, ensuring proper distribution to individual and subscription services. Data Integrity Assurance Ensure member data integrity and compliance with privacy and organizational standards. Maintain accurate member and school records within the association management system. Resolve duplicate membership records and other data anomalies. Reporting Generate regular and ad hoc membership reports for leadership. Prepare custom reports for affiliate/partner organizations. Analyze and report on multiyear membership and convention registration trends, identifying opportunities for growth. Convention Support Run data integrity checks to resolve badge information issues prior to the event. Manage badge preparation for a variety of non-member participants. Schedule, train, and supervise volunteers and Visit San Antonio staff who support convention registration tasks. Oversee the onsite registration area at convention. Resolve attendee registration and membership issues on site. Generate nightly attendance reports. Collaboration & Strategic Support Perform other tasks or special projects as requested by the Executive Director Contribute to strategic planning related to membership growth and engagement. Assist with budgeting and forecasting related to membership revenue and programs. Support special projects and organizational initiatives as assigned. Qualifications & Skills Bachelor's degree or equivalent professional experience. 3-5+ years of membership, association, nonprofit, or customer relationship management experience. Experience with databases or association management systems (AMS/CRM) and with reporting. Strong customer service and relationship-building skills. Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office Suite. Familiarity with AMS platforms preferred. Knowledge of membership analytics and retention strategies preferred. Location and Travel This position is based at the TMEA office located 6 miles northeast of downtown Austin. This position requires on-site work in the office. Regular office hours are Monday-Friday, 8:30 a.m. to 4:30 p.m. No reimbursement for relocation will be provided. Must be authorized to work in the United States at the time of application. Travel is generally not required, except for the TMEA convention which is held in San Antonio in February.

Frequent standing, walking between work areas, sitting for extended periods, and occasional bending, stooping, kneeling, or crouching for file retrieval.
Manual Dexterity:
High level of hand-finger coordination for typing, handling office machinery (printers, copiers), and handling small tools or documents.
Lifting & Carrying:
Occasional lifting or moving of materials up to 10-20 pounds, such as office supplies, printer paper, or file boxes.
Sensory Requirements:
Clear speaking and hearing for communication (in-person/phone), and high visual acuity to read reports and monitor computer screens.
Driving:
Occasional requirement to operate a motor vehicle to run errands or attend meetings.
Working Conditions:
Mostly quiet, climate-controlled office environments, though some roles may require navigating facility grounds or working flexible hours.
