Job Description The Burke Museum has an outstanding opportunity for a Development & Membership Coordinator. Under the direction of the Membership Manager and the Annual Giving & Stewardship Manager, the Development & Membership Coordinator provides logistical and administrative support to the Burke's fundraising and membership programs, primarily through gift processing, membership fulfillment and acknowledgement. This position also coordinates the mailings and appeals that encourage membership sales and annual fund donations and supports efforts to steward members and donors as needed. As a member of both the Membership and Development teams, this position will also contribute to the spirit of collaboration and partnership between both programs.
Key Responsibilities:
Gift Processing and Reconciliation, 40% Oversee and execute processing of all membership gifts and a subset of other donations, including UW payroll deduction gifts, online giving through the UW portal, and all donations under $250, using Salesforce and University of Washington's Advance donor databases. Train and assist work study student(s) and hourly employees with data processing. Maintain procedural manuals and training materials for membership processing and fulfillment. Assist with the monthly reconciliation process between UW's Advance and the Burke's Salesforce databases. Act as a liaison between the Burke and UW Gift Processing to resolve questions about membership, specific gifts, establish new gift funds, and create appeal codes. Gift Solicitation & Processing, 30%: Coordinate and implement the production of all membership, annual fund, and stewardship mail and email appeals. Maintain working relationship with UW's printing and mailing departments and other vendors. Under the direction of the Membership Manager, participate in creating and implementing strategies for membership acquisition and increasing membership renewal retention, and promoting member upgrades. Ensure timely membership fulfillment with support of hourly membership assistants. Work with Development Associate to track donation acknowledgements and ensure their timely completion and return from appropriate Burke Staff. Assist with database and donor/member file management and filing contact reports in the UW Advance database Events 20%: Work with the Membership Manager to ensure membership has a presence at Burke programs and community events as needed. Participate in event prep and day-of support for Membership and Development programs.
Tasks may include:
overseeing RSVPs, working event check-in, and other tasks related to set-up or take-down. Administrative Support, 10%: Perform general office management tasks, which include but are not limited to filing, copying and other administrative office duties. Maintain inventory and purchase all office and other supplies including print collateral. Other duties as assigned
MINIMUM QUALIFICATIONS
High school graduation or equivalent AND two years experience working in a museum or member / donor engagement, or events OR equivalent education/experience
DESIRED QUALIFICATIONS
People-oriented, customer-service minded, proactive, problem solver. Highly organized with strong attention to detail. Excellent communication skills, in person, over the phone and via email. Ability to work independently and in a team setting. Proficiency working with Microsoft Word, Excel, and donor databases. One to two years of experience working in museum membership, development, admissions, or events. Experience working with databases, data entry, and reporting. Experience leading and/or supervising staff or volunteers. Comfort and affinity for a fast-paced, solutions-oriented environment. Ability to work proactively and independently to achieve agreed-upon goals.
WORKING CONDITIONS
: Ability to work occasional weekends and evening hours. Ability to work regularly in an open environment with both visual and audible distractions. Wear required credentials at all times and work attire/uniforms and name tags as required by position. About the
