Job Description
Sample Coordinator Manage the intake, labeling, organization, and tracking of product samples for studio and marketing use. Maintain accurate inventory records, shot lists, and sample status updates across spreadsheets and tracking systems. Coordinate the movement of samples between internal partners, creative teams, and outside vendors to support project timelines. Prepare merchandise for photography by organizing assortments, steaming items, tagging pieces, and arranging looks. Support photo production teams by ensuring the correct products are available, presentation-ready, and aligned with project needs. Review item details including style information, color, size, and seasonal attributes to confirm accuracy before use. Monitor sample condition, document damages or alterations, and record usage notes throughout the production process. Resolve issues involving missing, late, incorrect, or damaged items in a fast-paced environment. Keep sample storage, prep spaces, and studio areas neat, orderly, and easy to navigate. Assist with returns, transfers, archiving, and other sample lifecycle activities after shoots or events are completed. Contribute to additional operational or merchandising projects as needed. Qualifications 1-3 years of experience in sample management, merchandising support, studio operations, retail production, or a related area. Background in fashion, apparel, e-commerce, creative production, or photo studio environments preferred. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. High level of accuracy and attention to detail when handling product information and inventory records. Comfortable working hands-on with apparel, footwear, accessories, or other physical product samples. Proficiency in Excel, Google Sheets, or similar inventory and tracking tools. Experience with studio workflow or sample tracking platforms is a plus. Effective communication skills and ability to collaborate across cross-functional teams.
