Our client is a global luxury retail brand. This is an on-site, full-time long-term temporary role based in Long Island City, with the potential for future full-time conversion.
Role Overview:
You will support the Architectural Design and Visual Merchandising teams in the coordination and execution of retail and store development projects. The role requires strong attention to detail, independent follow-through, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate is highly organized, collaborative, and communicates effectively across teams. An interest in visual merchandising, retail design, or architectural environments is a plus. Visual Merchandising Responsibilities:
Enter new project orders into internal systems for approval workflows Verify shipment accuracy and track incoming/outgoing orders Place graphic production orders for upcoming store openings Review and validate stock lists within Microsoft D365 Cross-check project data across ALP, Airtable, and other systems Ensure accuracy of monthly reporting submitted to headquarters Monitor and manage photography and video submissions Organize and maintain digital asset libraries and file structures Oversee visual merchandising content portal updates Review video content prior to publication submissions Confirm all visual assets are current and correctly labeled Prepare and label project completion imagery for reporting Review and process invoices with accuracy Input and maintain data across multiple platforms Distribute and track project punch lists Coordinate scheduling with vendors, retailers, and logistics partners Manage document execution and routing via DocuSign Maintain tracking systems in Excel and Airtable Support contract administration processes with internal teams Conduct research for point-of-sale design components Track orders for out-of-scope or special requests Manage digital file transfers with external partners Monitor inventory shipments and logistics updates Act as liaison with logistics and supply chain teams Project Coordinator -
Visual Merchandising Qualifications:
2+ years of administrative support experience Strong proficiency in Microsoft Excel, Outlook, Word, PowerPoint, Airtable, InDesign, and Adobe Creative Suite Excellent organizational skills and attention to detail Ability to manage multiple priorities and deadlines simultaneously Strong communication and collaboration skills Comfortable working with multiple digital systems and databases Self-starter with strong follow-through and accountability Interest in retail design, visual merchandising, or architectural environments preferred
