In this multifaceted role, you will be instrumental in managing parts procurement, supporting office operations, and assisting with estimating processes within a fast-paced automotive or manufacturing environment. Your expertise will ensure seamless supply chain management, accurate inventory control, and exceptional customer service. This position offers an exciting opportunity to contribute to operational efficiency while working closely with suppliers, technicians, and internal teams to deliver top-tier service and support. Responsibilities 1. Parts Management
  • Order, receive, store, and manage repair parts inventory
  • Maintain accurate records of all parts transactions
  • Prevent loss, damage, or incorrect orders
  • Communicate with vendors to resolve issues
  • Manage return parts and track return status
  • Verify refunds/credits and maintain records
  • Report all refund/credit amounts to the owner
  • Enter and manage parts invoices in CCC ONE
  • Maintain and organize parts-related reports and documentation 2. Vehicle Check-In
  • Generate RO number
  • Record customer and insurance information accurately
  • Perform PRE-SCAN and retain printed results
  • Securely store vehicle keys and documents 3. Vehicle Check-Out Preparation
  • As Required in the Normal Course of Operations
  • Inspect repair quality, paint match, and cleanliness
  • Report inspection results to supervisor
  • Report any issues immediately
  • Perform POST-SCAN and retain printed results

  • As Required in the Normal Course of Operations
  • Verify full payment including deductible before release 5. Insurance Payments and Accounts Receivable (A/R)
  • Monitor original insurance payments
  • Monitor customer deductible payments
  • Monitor supplement payments
  • Maintain organized records of insurance payments
  • Enter and manage repair payments received from insurance companies or customers in CCC ONE
  • Assist in collecting outstanding balances (Accounts Receivable)
  • Follow up with customers and insurance companies regarding unpaid balances as directed by management
  • Immediately report any payment discrepancies or concerns to management 6. Administrative and Accounting Support
  • Match vendor invoices with company records
  • Assist with vendor payment processing
  • Maintain organized financial and administrative records
  • Support general office administrative functions 7. Customer & Phone Handling
  • Assist customers and handle calls professionally 8. Mail Handling
  • Receive and distribute mail to appropriate personnel 9. Vehicle Pick-Up Delivery
  • Safely transport vehicles 10. Office & Facility Maintenance
  • Maintain cleanliness of office and parking lot 11. End-of-Day Security Check
  • As Required in the Normal Course of Operations
  • Confirm all vehicles are locked
  • If a window cannot be closed, take protective action or report the issue and ensure protection is completed 12. Purchasing Control
  • All purchases require prior approval
  • Maintain purchase records 13. EV Battery Management
  • Monitor battery levels and maintain sufficient charge
  • Follow safety procedures 14. Additional Duties
  • Perform reasonable duties as directed by supervisor or owner within normal company operations Requirements Proven experience in supply chain management, procurement management, or parts department operations within an automotive dealership or manufacturing environment.
Strong knowledge of automotive diagnostics, OEM, aftermarket, and used parts sourcing, and automotive service procedures. Ability to handle data entry accurately while managing multiple priorities in a fast-paced setting. Strong customer service orientation with effective communication skills for interacting with suppliers, technicians, and internal teams.
