How You'll Contribute As the Parts & Service Specialist, you'll contribute by ensuring the fleet services division operates efficiently, accurately, and with a strong customer-service focus by leading day-to-day parts room operations, maintaining a reliable and well-organized inventory, and coordinating timely procurement of parts, tools, and supplies. You'll support mechanics and departments by researching and sourcing parts, preparing and tracking work orders, scheduling service appointments, and maintaining detailed records that support cost accounting and operational decision-making. Through clear communication, attention to detail, and collaboration with internal teams and vendors, you'll help keep City vehicles and equipment safe, available, and ready to serve the community while continuously promoting high-quality service and smooth information flow across the organization. Direct, lead, and coordinate all activities within the parts room to support fleet maintenance operations Purchase, receive, and issue parts, tools, supplies, and non-inventory commodities, ensuring timely availability and accurate tracking Maintain an accurate computerized inventory system, including assigned quantities, bin locations, and annual physical inventories Research parts requests, identify vendors, and arrange pickup or delivery to meet operational needs Prepare, process, and maintain work orders, service requests, and records of repairs and parts usage Schedule service appointments, direct work to mechanics, and support daily workflow within the fleet services division Provide high-quality customer service by greeting visitors, responding to inquiries, and coordinating communication with departments, vendors, and the public Contribute to vehicle and equipment cost accounting through accurate recordkeeping and data input Develop and support customer service practices that promote effective communication and information flow Maintain a clean, safe, and organized work area and assist with cleaning fleet-related equipment and spaces Other Duties as Assigned Knowledge, Skills, and Abilities Thorough knowledge of automotive parts, equipment, and gasoline- and diesel-powered vehicles and machinery Working knowledge of vehicle and equipment maintenance needs and related commodities required for safe operation Skill in using computerized inventory management systems and standard office equipment with accuracy and efficiency Ability to research parts, evaluate procurement options, and make sound purchasing decisions Ability to prepare, maintain, and interpret records related to inventory, work orders, and cost accounting Strong customer service skills with the ability to respond effectively to inquiries, requests, and complaints Effective oral and written communication skills to collaborate with staff, vendors, officials, and the public Ability to comply with local, state, and federal safety regulations while maintaining professional integrity Education & Experience High school diploma or GED equivalent required. Training in customer service practices, commodity procurement, and the operation of a computerized inventory management system. Working knowledge of parts used in the maintenance and repair of vehicles and equipment. A minimum of two (2) years of experience providing customer service in an automotive and/or equipment repair facility, or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities. Licenses and Certifications Valid Illinois Commercial Driver's License (CDL) or the ability to obtain an equivalent within 6 months of hire. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Work is performed at a medium demand level.
