Job Description
The Parts Specialistis a critical role responsible for the end-to-end management of vehicle parts, from initial receipt to final distribution to technicians. This position ensures that all parts are accurate, undamaged, and processed efficiently to keep the repair production line moving. You will act as a key liaison between parts vendors and our estimating team. Core Responsibilities 1. Receiving & Inspection •
Verify Deliveries:
Receive parts from various vendors and ensure every delivery includes an invoice. •Quality Control:
Match part numbers against invoices and thoroughly inspect all items for damage upon arrival. •Freight Handling:
Perform detailed inspections and take photographs of all freight shipments prior to signing the Bill of Lading (BOL). 2. Parts Processing & "Mirror Matching" •Mirror Matching:
Compare new parts against the damaged parts on the vehicle to ensure 100% accuracy. •Sorting:
Organize and deliver parts to designated technician stalls or the parts shed. •Communication:
Immediately notify estimators of any incorrect, missing, or damaged parts to initiate reorders or insurance claims. 3. Administrative & Digital Management •CCC Management:
Scan all invoices into the CCC system, ensuring they are labeled correctly by vendor and invoice number. •Core & Returns:
Identify and manage core returns and set up return shipments for incorrect/unused parts. •Financial Accuracy:
Verify that list prices and discounts in the system match the physical invoices. 4. Production Support •Inventory Review:
Conduct comprehensive reviews of all vehicles in process every Tuesday and Thursday to identify missing components. •Priority Handling:
Identify "HOT" parts and deliver them immediately to technicians waiting on them. •Vendor Liaison:
Follow up on credit memos and ensure vendor accounts are reconciled. Requirements & Qualifications • Attention toDetail:
High level of precision required for matching part numbers and identifying subtle shipping damage. •Communication Skills:
Ability to work closely with estimators and technicians in a fast-paced shop environment. • Technical Proficiency: Ability to learn and utilize industry-specific software (CCC) for scanning and inventory management. •Physical Stamina:
Ability to lift and move automotive parts and navigate the shop floor/parts shed throughout the day. •Organization:
Must be able to manage multiple deliveries and prioritize time-sensitive parts for the production team.Benefits:
