POSITION SUMMARY
The Pricing Specialist is responsible for developing accurate cost estimates and pricing models for all screen printing orders, including custom apparel, promotional products, and bulk manufacturing runs. This role manages daily order costing workflows, maintains cost sheet accuracy across all active work orders, and ensures pricing is correctly reflected in the system at all stages — from initial quote through to invoicing. The Pricing Specialist works closely with the sales, CSR and production teams to ensure all orders are competitive, profitable, and aligned with company margin targets.
KEY RESPONSIBILITIES
Daily Costing & Order Management Prioritize rush costing requests accordingly Review and work on cost sheets based on the Order Report, ensuring all orders in the system have up-to-date pricing under the invoicing side Create cost sheets, price lists, and add notes under activities with price approval for all orders entered Ensure cost sheets vs. orders entered in the system meet required parameters: correct cost on POs for blanks and outsourcing, correct price breakdown based on quantities, and customer PO when available Check and action work orders flagged as missing pricing Develop and maintain price lists and matrices Margin analysis and protection Outsourcing Cost Management Add the cost of outsourcing services (embroidery, heat transfer, relabelling, patches, etc.) under each design ID for CSR visibility when creating outsourcing POs Notify CSR when outsourcing POs contain incorrect costs and add corrective notes under 'Notes•To Payable' for accounts payable visibility Request all outsourcing prices from the designated outsourcing coordinator Inform CSR when orders require an updated PO or when a cost sheet has been revised Blank Cost & Supplier Pricing Constantly monitor blank cost fluctuations to ensure pricing remains current and accurate Update blank costs in the system as needed Create new blank part numbers when required Request updated price lists from all main suppliers on an annual basis Compare new supplier price lists against previous versions, identify items with price increases, and present findings to management for approval or negotiation Systems & Reporting Maintain accurate and complete cost sheet records in the company system (SW) for all active and completed orders Generate and review reports to identify orders without pricing and take corrective action Identify opportunities to reduce costs without compromising quality or delivery Support the finance team during month-end close with job cost reconciliations Collaboration & Communication Work cross-functionally with CSR, sales, production, and accounts payable teams to ensure order accuracy and timely costing Communicate pricing updates, PO discrepancies, and cost sheet revisions clearly and promptly to relevant team members Assist in preparing annual budgets and standard cost reviews
QUALIFICATIONS & REQUIREMENTS
Minimum 2 years of experience in a costing, estimating, or pricing role, preferably within a manufacturing environment Strong numeracy skills with high attention to detail and accuracy Proficiency in Microsoft Excel (formulas, pivot tables, VLOOKUP/XLOOKUP) or Google Sheets Ability to manage a high-volume workload, prioritize tasks, and meet deadlines in a fast•paced environment Strong written and verbal communication skills for cross-team coordination and customer interaction
