Job Description

Holiday Inn Binghamton, a Vista Property Management hotel, is seeking a detail-oriented and organized Event Supervisor to support and execute hotel events. The Event Supervisor is responsible for planning, organizing, and coordinating weddings, conferences, banquets, and other events to ensure an exceptional guest experience. This role works closely with the catering and sales teams, clients, and hotel departments to ensure all event details are executed seamlessly, from initial planning through event completion. Essential Duties Provides a friendly, service-oriented experience to guests and colleagues Serves as a primary point of contact for clients during event planning and execution Maintains consistent communication with clients to ensure expectations are met or exceeded Assists in reviewing Banquet Event Orders (BEOs) and ensures all event details are accurate and communicated properly Coordinates with food & beverage, kitchen, and operations teams to ensure smooth event execution Confirms event setup details, including room layouts, décor, and timelines Inspects event spaces prior to functions to ensure proper setup, cleanliness, and presentation Supports coordination of table settings, buffet arrangements, and service flow Monitors events to ensure service standards and timelines are followed Responds quickly and professionally to guest requests, concerns, or changes during events Assists in event breakdown and post-function cleanup Maintains organized event documentation and daily event summaries Collaborates with departments to ensure all requested services and equipment are delivered Participates in event planning meetings with catering and sales teams Supports scheduling and staffing coordination for events as needed Assists with administrative tasks related to event planning and reporting Attends meetings and training sessions as required Assists with additional operational or administrative duties as needed Supports special projects to enhance guest experience and event efficiency Knowledge, Skills & Ability Requirements Degree in hospitality, business, or related field preferred but not required Certificate or diploma in Hospitality, Event Management, or related discipline is an asset 1-3 years of experience in event supervisor, hospitality, or a related field Strong organizational and time-management skills with the ability to manage multiple events simultaneously Excellent communication and interpersonal skills Knowledge of food and beverage operations is preferred Ability to work effectively in a fast-paced, high-pressure environment Detail-oriented with strong problem-solving skills Ability to work flexible hours including evenings, weekends, and holidays Strong customer service focus with a commitment to delivering exceptional guest experiences Holiday Inn Binghamton is an Equal Opportunity Employer that recruits and hires qualified candidates without regard to race, religion, sex, sexual orientation, age, national origin, ancestry, citizenship, disability, or veteran status.
