Base salary $40,000 plus tiered commission structure. Based on annual revenue targets, total compensation ranges from $50,000 at $500K revenue to $115,000+ at $1.5M revenue.

POSITION OVERVIEW
The Event Specialist is charged with growing event sales for The Falconwood, a stunning 200-500 seat Special Event Center at Beaver Island State Park. You'll be the driving force behind expanding our sales pipeline for corporate events, weddings, and special occasions across all Beaver Island outlets including The Falconwood Event Center, The V'Randa Restaurant, Bogey's, the Beaver Island Golf Course, and 980 acres of outdoor opportunity. We're seeking a passionate, detail-oriented, self-driven sales professional with significant experience in the weddings and special events industry. You must be comfortable working with autonomy, energized by the sales process, and committed to delivering exceptional client experiences from initial contact through post-event follow-up.
KEY RESPONSIBILITIES SALES & CLIENT MANAGEMENT
Monitor all lead channels daily (WeddingWire, The Knot, Facebook, Eventective, emails, voicemail) and respond promptly to inquiries via phone, email, or text Qualify prospective clients by asking targeted questions, observing needs, and completing comprehensive sales assessments Schedule and conduct site inspections, tours, and informational meetings Manage client relationships from initial contact through post-event follow-up, maintaining detailed and confidential client data Provide regular communication throughout the planning process, walking clients through timelines, payments, and upcoming tasks Prepare accurate contracts and quotes; collect vendor waivers and event insurance certificates Coordinate with the Event Coordinator, Banquet Manager, and Chef to ensure exceptional event delivery and client satisfaction Meet or exceed established sales quotas and revenue targets
PIPELINE & OPERATIONS
Maintain Tripleseat calendar and client portal; provide weekly and monthly sales pipeline reports to management Develop and maintain competitor analysis Meet deadlines for BEOs (Banquet Event Orders) and event layouts Help develop and maintain event pricing structure Manage multiple simultaneous projects; handle pressure effectively during peak seasons Develop and maintain sales tools and resources Become proficient with Tripleseat, Google Docs, Microsoft Office, and RingCentral
MARKETING & BUSINESS DEVELOPMENT
Assist Director of Catering & Events with marketing campaigns, collateral, and content creation Create and stage content for social media and website Collect professional event photography for marketing use (social media, website, WeddingWire, collateral) Identify and attend relevant trade shows, bridal expos, and networking events; manage booth setup and presentation Promote Beaver Island State Park and Grand Island, NY as an event destination
EVENT EXECUTION
Plan and orchestrate in-house special community events Coordinate large-scale events on the day of execution (coordinators on staff to assist)
REQUIRED QUALIFICATIONS
3+ years of direct sales and operations experience in the wedding and special events industry Proven track record of meeting or exceeding sales targets Strong communication skills (written and verbal) and ability to manage multiple client relationships simultaneously Detail-oriented with excellent organizational skills and ability to manage timelines Proficiency with sales management platforms (Tripleseat or similar) Comfortable with Microsoft Office, Google Docs, and social media platforms Self-motivated, energetic, and comfortable working independently Understanding of diverse wedding cultures and traditions Ability to work flexible hours including evenings and weekends during event season
PREFERRED QUALIFICATIONS
Experience with RingCentral or similar phone systems Knowledge of the Buffalo/Niagara wedding and events market Social media content creation experience Prior experience with venue management software
