Job Description:
The Department of Music in the Cook-Cole College of Arts and Sciences invites applications for the position of Public Relations and Performance Events Administrative Specialist / Public Relations and Marketing Specialist III (00211). In collaboration with the music faculty, this individual will be responsible for scheduling, publicizing, and preparing for the execution of all departmental events, including new student auditions and recruitment events, faculty recruitment trips, student recitals, concert series, and the signature annual Holiday Dinner concert performance. This individual will play an integral role in helping the department prepare for its move to the new music education and performance hall, scheduled for opening in 2028, including developing and advancing its reputation as a regional destination performance venue. This individual will also provide administrative assistance to the academic department chair and faculty. Performance and Event Planning Coordinate the schedule of all departmental events, including classes, studios, Chamber Music Series concerts, guest artist, faculty, and student recitals, masterclasses, Honor Ensemble events, Longwood Center for Community Music events, etc. Assist faculty in scheduling, planning, and execution of prospective student recruitment events, student recitals, and alumni and donor events Oversee the planning and execution of the annual Holiday Concert and Dinner Assist faculty in obtaining permissions and rights for music performances and contract preparations for visiting performers Provide professional communications to and coordinate logistics of visits of performing artists Coordinate preparation and distribution of programs for performances Public Relations and Marketing Provide exemplary professional customer service to all individuals (students, faculty, staff, performing artists, guests, alumni, donors) in every medium (phone, email, in person) Develop and maintain department calendar of events, including Longwood Center for Community Music events Publicize department events through various communication channels (print, department website, social media) to stakeholders (university, community, alumni) Develop and maintain databases of all music department constituents and stakeholders, including alumni, donors, prospective students, PK-12 school contacts and music directors Academic and Budget Administration Manage Department of Music office and serve as area coordinator of the Music Building Assist chair with course scheduling and hiring and onboarding of adjunct faculty Manage budgets for all Music department accounts consistent with Longwood University policies and procedures Maintain electronic files for syllabi and appropriate records management per Longwood University policies Prepare eVA orders, travel requests and reimbursements for faculty and non-university persons participating in department activities, and compensation forms for adjunct, faculty overload, intersession and summer session per posted deadlines Supervise student workers and interns Process and maintain adequate inventory of departmentally-owned instruments, office and classrooms supplies Keep minutes for departmental meetings; distribute minutes to the department upon chair's review and approval Maintain training for BANNER, ARGOS, R25, Course Scheduling, and A/V equipment use This position is located in Farmville, Virginia, and is required to work in person on Longwood University's campus. Requirements:
High School diploma or equivalent required; Bachelor's degree preferred, or commensurate training and work experience in higher education Excellent communication skills and exemplary customer service skills required Demonstrated ability to interact effectively with students, faculty, staff, parents, alumni, donors, vendors and the general public required Work experience in general office procedures and records management required Familiarity with advertising design, marketing and public relations, and social media preferred Computer skills in MS Office (Word, Excel), Adobe required Demonstrated ability to supervise students preferred Work experience in event planning or public relations experience preferred Demonstrated knowledge of university, state and federal regulations, particularly those that pertain to budget, preferred

This is a full-time, classified, non-exempt position in pay band 4. Salary will be commensurate with credentials and experience.
