Job Description

Position Overview:
The Real Estate Assistant/Receptionist plays an important role in supporting the firm's real estate practice by assisting with file setup, client communication, and day-to-day administrative operations. This position is responsible for opening new real estate files, coordinating title searches, maintaining organized records, and providing front desk and receptionist support. This is a part-time position with consistent hours, ideal for someone who is organized, professional, and client-focused.
Key Responsibilities:
Open and organize new real estate files for residential and commercial transactions Review contracts and intake documents for completeness and accuracy Order and monitor title searches and related documentation Maintain detailed records of contracts, deadlines, and file statuses Communicate professionally with clients, realtors, lenders, title companies, and other parties involved in transactions Answer incoming phone calls and direct calls appropriately Greet and assist clients and visitors in a courteous and professional manner Monitor shared email inboxes and distribute or respond to messages as needed Perform general clerical duties, including copying, scanning, filing, and mail distribution Assist attorneys and paralegals with administrative tasks and office support as needed Help maintain an organized and welcoming office environment
Qualifications:
Prior office or administrative experience preferred Familiarity with real estate contracts, closings, or title processes is a plus Strong organizational skills and attention to detail Excellent written and verbal communication skills Proficiency in Microsoft Office and ability to learn legal software systems Ability to manage multiple tasks and deadlines in a fast-paced environment Professional demeanor with strong customer service skills Dependable, motivated, and able to work independently as well as part of a team
