We're expanding our team and searching for a Transaction Coordinator to support our high-volume real estate transactions and keep our resale pipeline running smoothly. •This is an in-office position•This role is ideal for someone with transaction coordination experience who's ready for a higher-level operational position. WHAT YOU'LL DO
Transaction Management Manage the listing process of real estate transactions from listing to close. Oversee listings on the market and the resale process, ensuring timely and accurate execution. Track listings and escrows across multiple markets. Monitor deadlines, contingencies, disclosures, and contract requirements. Inspection, Repair & Vendor Coordination Review inspection reports with a critical eye and identify key issues or risks. Evaluate repair estimates, compare bids, and ensure accuracy in scope and pricing. Communicate required repairs, negotiate expectations, and coordinate next steps with vendors and partners. Recommend repair strategies that protect the deal and align with company goals. Communication & Client Coordination Communicate with real estate agents, investors, lenders, inspectors, and title companies. Explain processes to increase acceptance and reduce friction. Serve as the primary point of contact for listing agents, vendors, partners, and internal team members. Contracts, Compliance & Documentation Ensure all required documents are uploaded and organized within internal systems. Maintain data integrity across databases, transaction platforms, and company records. Problem Solving & Decision Making Identify risks, delays, inspection issues, and title challenges early and escalate appropriately. Handle tough or sensitive conversations with confidence and professionalism. Troubleshoot issues related to repairs, inspections, closing timelines, and vendor performance. Operations & Project Support Coordinate inspections, valuations, repair estimates, and closing activities. Support internal workflows, reporting, and operational initiatives. Conduct research and administrative tasks that support the larger team. Culture & Team Participation Take part in Zoodealio team-building events and office shenanigans. Join occasional company video content and social media features. What You Bring Experience as a Real Estate Transaction Coordinator, Property Manager, Escrow Coordinator, Real Estate Assistant, Legal Assistant, or similar role. Strong understanding of contracts, timelines, and real estate transaction processes. Excellent written and verbal communication skills. Ability to manage multiple files and deadlines with strong organization. Confidence in handling tough conversations with agents, vendors, and partners. Strong decision-making skills and the ability to operate independently. Proficiency with Google Sheets, Google Docs, and digital transaction systems. Professional, positive, and calm under pressure.
