Pacifica Companies is seeking a detail-oriented Loan Acquisitions & Portfolio Assistant to support the acquisition and management of a portfolio of short-term, business-purpose loans secured primarily by California real estate. This is a dynamic, fast-paced role based in Pacifica's San Diego corporate office. The position will support the Director of Loan Acquisitions & Portfolio Management and will involve loan file organization, broker and borrower communications, loan due diligence, portfolio tracking, and coordination with loan servicers, escrow/title companies, brokers, borrowers, and internal accounting personnel. This is a 100% on-site position. Responsibilities Assist with the acquisition, evaluation, and management of a portfolio of real estate-secured loans. Manage and track email communications with brokers, borrowers, loan servicers, escrow/title companies, attorneys, and internal team members. Update loan databases, document communications, and organize electronic loan files. Collect, review, and summarize information on potential loan acquisitions, including borrower information, collateral/property information, loan terms, title/escrow materials, entity documents, insurance, and other due diligence items. Review documents for accuracy, completeness, and consistency with approved business terms. Assist with tracking loan payments, maturities, extensions, payoffs, insurance, taxes, and other portfolio-related items. Work with existing loan brokers and servicers on loan extensions, modifications, payoffs, and related documentation. Coordinate with accounting on wires, deposits, check requests, loan purchases, payoffs, and other payment-related matters. Maintain organized records and follow established procedures to help ensure that loan files are accurate, complete, and up to date. Perform other tasks and responsibilities as needed. Qualifications Previous experience in loan administration, real estate, escrow/title, mortgage lending, loan servicing, legal support, accounting support, or similar administrative support preferred, but not required. Excellent writing skills, including the ability to summarize emails, documents, and transaction information clearly and accurately. Strong organizational skills and the ability to manage multiple matters while maintaining careful attention to detail. Strong time-management skills and the ability to follow up consistently on open items. Ability to follow established procedures and maintain accurate records. Basic proficiency with Microsoft Outlook, Excel, and Word. Professional communication skills and comfort communicating primarily by email. Positive attitude, strong work ethic, and willingness to learn. Exercises professional and ethical judgment. Must be able to work in Pacifica's San Diego corporate office. Employment is contingent on passing a background check and company-policy drug screen.
