We are looking for a highly organized, detail-oriented assistant to join us at an exciting stage of expansion and support our daily property renovation projects. Core Responsibilities:
Day-to-day Operations Responsible for the daily functioning of simultaneous renovation projects for multiple residential & commercial properties, making sure renovations are organized, and running efficiently Communication & Reporting - Source, negotiate competitive pricing, coordinate and manage contractors and vendors related to renovations projects and maintenance Resolve job site issues and construction delays efficiently Maintain accurate renovation records including project tracks, budgets, contractor quotes, and invoices Prepare reports, spreadsheets on projects and keep key departments informed on project performance Maintain organized project documentation including contracts Project Job Coordination - Coordinate appointments, schedule contractors, follow up on progress/completion, and ensure work meets quality standards and executed properly Coordinate and supervise all trades including plumbing, electrical, HVAC, framing, roofing, flooring, painting, and finish work Conduct site visits and inspections to monitor quality and progress Coordinate with key departments on project materials ordered/needed and coordinate deliveries The exact responsibilities may vary depending on the depth of existing projects. The role will include a mix of operations and administrative work.
Qualifications:
1-3+ years' experience in property management or real estate Bachelor's degree in business, real estate, or related field preferred but not required with relevant experience Proficient in Microsoft Office (Outlook, Excel, Word) and Google Workspace Experience with property management software a PLUS Strong organizational and multitasking skills. Ability to manage multiple properties, track deadlines, and keep detailed, accurate records in a fast-paced environment Ability to solve problems quickly and manage multiple active jobs at once Preferred existing network of contractors/sub-contractors, vendors, and suppliers contacts Maintain strong relationships with contractors, suppliers, and vendors Proficient with project scheduling and budgeting Reliable transportation and ability to travel between office and job sites Strong negotiation and vendor management abilities Bilingual (English native / +Spanish)
