In this vital role, you will manage all aspects of real estate transactions from contract to closing while coordinating with attorneys, heirs, title companies, mortgage lenders, escrow officers, and clients. The ideal candidate has experience working in the legal field and understands probate processes, title requirements, and real estate documentation. Your strong organizational skills, professionalism, and customer service abilities will help ensure smooth and compliant transactions in a fast-paced environment. This is an exciting opportunity for someone passionate about real estate, legal coordination, and delivering exceptional client support. Responsibilities Coordinate all transaction activities from contract acceptance through closing, ensuring deadlines and requirements are met. Assist with probate and partition-related real estate transactions, including communication with heirs, attorneys, title companies, and lenders. Serve as the primary point of contact for clients, agents, mortgage companies, escrow officers, and legal professionals to facilitate smooth communication. Review and verify transaction documents for accuracy, completeness, and compliance with real estate and probate requirements. Work closely with title and mortgage companies to resolve title issues, obtain payoff information, and ensure clear closing conditions. Track inspections, appraisals, financing contingencies, court-related deadlines, disclosures, and closing requirements. Maintain organized and confidential transaction files within company systems and databases. Provide excellent customer service by responding promptly to client questions and guiding parties through the transaction process professionally and compassionately. Assist in resolving transaction issues and coordinating solutions to keep deals moving efficiently toward closing. Qualifications Proven experience as a Transaction Coordinator, Real Estate Administrative Assistant, or similar role within the real estate or legal industry. Experience handling probate, partition, estate-related, or legal real estate transactions preferred. Background working with title companies, mortgage lenders, escrow officers, or law firms strongly preferred. Strong understanding of real estate contracts, title processes, and transaction timelines. Excellent organizational and multitasking skills with the ability to manage multiple files simultaneously. Strong communication and interpersonal skills with a professional and customer-focused approach. Ability to work effectively in a fast-paced environment while maintaining attention to detail. Knowledge of real estate law, probate procedures, and compliance regulations is a plus. Proficiency with real estate software, Microsoft Office, and transaction management systems. Bilingual or multilingual abilities are a plus.
