Job Description

Michael Saunders & Company is searching for an experienced Transaction Coordinator/ Real Estate Administrative Assistant to join our team at our downtown Sarasota Main Street office. The perfect candidate will thrive in an exciting, fast-paced environment, be very detail-oriented and will be good at taking initiative when necessary. This position offers a unique blend of administrative support, contract management, and MLS oversight, contributing to the success of our high-growth projects in a fast-paced environment. Candidates should be organized, collaborative, and eager to grow their expertise in real estate development and contract compliance.
Job Description:
  • Manage and oversee all real estate contracts, including purchase agreements, disclosures, and related documents, ensuring accuracy, compliance, and proper filing.
  • Track rescission billing, including transmittal, deal sheet and invoicing for active projects.
  • Input, update, and maintain MLS listings, including active, pending, and sold properties, ensuring timely and accurate data entry from listing to closing.
  • Monitor MLS listing status, coordinate with agents and team members on contract statuses, and ensure all listings reflect current markets and project data.
  • Address inquiries from agents and internal staff professionally and in a timely manner.
  • Complete commission disbursement forms.
  • Ability to type in a professional manner correspondence, memos, emails, and other relevant communications.
  • Complete daily tasks/projects in a timely, accurate and efficient manner
  • Reception duties
  • Other duties as assigned.
Requirements:
  • Residential real estate experience, a plus
  • Excellent customer service and communication skills (written and verbal).
  • Strong organization and problem-solving skills. Attention to deadlines
  • Strong computer skills: Windows based PC programs; (i.e. Excel, Word, Outlook).
  • Positive, friendly and supportive attitude.
  • Energetic, reliable and punctual.
  • Excellent time management skills and attention to detail.
