Estate Planning Legal Assistant Family First Firm - 5.0 Winter Park, FL Job Details Full-time $20 an hour 7 hours ago Qualifications Customer communication Full Job Description Job Summary The Estate Planning Legal Assistant provides support to the paralegals and attorneys on the Estate Planning team. This position helps maintain strong client communication throughout the planning process. Responsibilities include prepping for estate planning signings, attending client consultations, assisting with drafting of introductory estate planning documents, assisting with the management case files including scheduling signing appointments, and supporting case closure tasks such as trust funding and deed recording. This role aids the estate planning process from beginning to end to help deliver a great experience for our clients.
Job Responsibilities Client Communication:
Assist paralegals and attorneys with client communication with professionalism and empathy.
Scheduling and Calendar Management:
Coordinate and manage scheduling needs for the Estate Planning team, including setting up client appointments and ensuring timely follow-ups and reminders.
Document Preparation:
Assist Estate Planning team with Advanced Directives and supporting documents for paralegal and attorney review while maintaining attention to detail and compliance with legal standards throughout the documentation process. Assist with drafting as needed.
File Management:
Organize and maintain client files ensuring all information is accurate and current. Uphold strict confidentiality protocols and data security standards while managing sensitive legal documents. Regularly audit files to support case progress.
Administrative Support:
Provide essential day-to-day administrative assistance by scanning, filing, and organizing incoming and outgoing correspondence and legal documentation. Ensure accurate labelling and prompt distribution of materials to appropriate team members. Support overall office efficiency by maintaining orderly systems and anticipating the administrative needs of the estate planning team.
Client Experience:
Deliver exceptional client care by responding promptly and thoughtfully to inquiries, offering clear guidance, and maintaining open lines of communication throughout the estate planning process. Anticipate client needs, provide reassurance during complex or sensitive matters, and contribute to a positive, supportive experience that reflects the firm's commitment to excellence.
Team Support:
Collaborate closely with attorneys and paralegals by providing reliable administrative assistance throughout all stages of estate planning cases. Help prepare case materials, coordinate internal communications, and manage task follow-through to ensure deadlines are met. Contribute to a cohesive and efficient team environment by being proactive, dependable, and solution oriented.
Additional Duties:
Perform other responsibilities as assigned by firm leadership to support departmental operations and organizational objectives.
