The Lease & Real Estate Specialist is a high-autonomy, execution-focused role responsible for managing lease lifecycle activities across a large multi-site portfolio. This role requires strong attention to detail, the ability to independently manage deadlines and deliverables, and the judgment to evaluate lease scenarios and present practical options and recommendations to internal stakeholders. This individual will serve as a key operator within the Real Estate function, ensuring lease obligations are met, issues are resolved efficiently, and opportunities or risks are proactively identified. The role is expected to think critically, solve problems independently, and support decision-making through structured analysis - without owning portfolio strategy or enterprise-level real estate direction.
Essential Job Duties:
Create, maintain, update and organize all property related information for company properties, whether owned or leased Support real estate project execution related to lease transactions, including renewals, relocations, expansions, consolidations, and closures, ensuring timely coordination of internal and external stakeholders. Collaborate with Operations, Finance, Legal, vendors, and landlords to support execution of real estate projects and resolve issues that may impact timelines or deliverables. Manage end-to-end lease lifecycle activities including renewals, amendments, terminations, and option exercises across a multi-site portfolio. Maintain, update, and ensure accuracy of all lease and property records within the lease management system and related databases. Perform lease abstraction, review, and document management to ensure accurate understanding of lease terms, obligations, and critical requirements. Monitor and proactively manage key lease milestones including expirations, rent escalations, notice requirements, and renewal deadlines. Analyze lease scenarios (e.g., renewal vs. relocation options) and provide clear, structured recommendations and considerations to internal stakeholders. Identify risks, inconsistencies, and cost implications within lease terms and escalate issues with practical solution options. Serve as a primary point of contact for landlords, property managers, and external partners to resolve day-to-day operational lease matters. Support lease negotiations by preparing analysis, reviewing terms, and participating in discussions alongside Legal and the Director of Real Estate. Support acquisition and post-close onboarding activities on a limited basis, primarily focused on documentation, system setup, and administrative integration tasks. Maintain compliance tracking related to property taxes, insurance, CSAT requirements, Tier II reporting, and other regulatory obligations. Collaborate with internal stakeholders including Operations, Finance, Legal, and field leadership to support real estate needs and resolve issues. Independently troubleshoot lease and property-related issues, offering practical solutions and escalating only when appropriate. Ensure accurate and timely execution of lease-related processes across multiple concurrent priorities. Work closely with the Lease Administrator to maintain data integrity, system accuracy, and consistent portfolio records. Support the Director of Real Estate by executing assigned initiatives and providing analysis to support decision-making.
Education and Experience:
Minium 5+ years of experience in lease administration, real estate operations, property management, or commercial real estate transactions (or equivalent hands-on experience in a related field). Experience may be considered in lieu of a bachelor s degree. Strong working knowledge of lease administration, lease interpretation, and real estate transaction processes, including renewals, amendments, and terminations. Demonstrated ability to negotiate or support negotiation of lease terms and effectively communicate with landlords and external stakeholders. Experience working with lease management systems, property management platforms, or similar databases (preferred but not required). Advanced proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook. Strong analytical skills with the ability to review lease documents, identify issues, and support decision-making with clear, structured information. Excellent written and verbal communication skills with the ability to interact professionally with internal stakeholders, landlords, and vendors. Highly organized with strong attention to detail and the ability to manage multiple priorities and deadlines independently. Proven ability to maintain confidentiality and handle sensitive business and lease information appropriately. Strong problem-solving mindset with the ability to think independently, evaluate options, and recommend practical solutions. Customer-service mindset with the ability to address tenant, landlord, and internal stakeholder needs in a responsive and professional manner. Collaborative team player who can work independently while supporting broader real estate and operations objectives.
