Job Description

We are looking for an exceptional Transaction Manager who thrives in a fast-paced environment, loves organization, anticipates problems before they happen, and genuinely cares about creating an incredible experience for clients and agents alike. The right person will help drive efficiency, consistency, communication, and excellence throughout every stage of the transaction process. Responsibilities Contract-to-Close Management Open and process all transaction files promptly upon execution. Review contracts, disclosures, addenda, timelines, and supporting documentation for completeness and accuracy. Track and manage all transaction deadlines, contingencies, and milestones from executed agreement through closing. Coordinate inspections, attorney review, appraisal scheduling, title work, mortgage timelines, municipal requirements, and closing preparation. Manage communication and documentation related to certificates of occupancy, smoke/carbon inspections, resale requirements, and township-specific items throughout New Jersey. Monitor deposits, commission authorizations, repair requests, contingency removals, and closing figures. Ensure every file remains compliant, organized, and moving forward proactively. Assist in resolving transaction challenges quickly and professionally to help keep deals together. Client & Agent Experience Serve as a primary point of contact for clients throughout the transaction process. Deliver consistent, proactive communication to buyers, sellers, attorneys, lenders, title companies, cooperating agents, and internal team members. Provide regular status updates to agents and leadership regarding transaction progress and potential risk points. Create a calm, confident, solutions-oriented experience for clients during what can often be a stressful process. Uphold the team's standard of white-glove service and relationship-based communication. Systems, Operations & Team Support Maintain accurate records and milestone tracking within Brivity CRM and transaction systems. Help improve and maintain operational systems, workflows, SOPs, templates, and checklists. Utilize AI tools and automation to improve efficiency, communication, and workflow management. Assist with pipeline reporting, projected closings, and operational tracking. Collaborate closely with leadership, agents, virtual assistants, and support staff to ensure seamless operations. Support occasional client events, team events, and client experience initiatives. Contribute ideas that help the business scale while maintaining an exceptional client experience. Tools & Platforms Experience with several of the following is strongly preferred: Brivity CRM Dotloop Google Workspace Microsoft Excel / Google Sheets Google Forms Zillow Canva KW Command AI productivity tools MLS systems (Hudson County
MLS, NJMLS, GSMLS, MOMLS
) Qualifications 2+ years of transaction coordination, transaction management, or residential real estate operations experience preferred. New Jersey real estate transaction experience strongly preferred. Active New Jersey real estate license is a plus, but not required. Strong understanding of New Jersey contracts, timelines, attorney review, inspections, municipal requirements, and closing procedures. Exceptional organizational skills and attention to detail. Ability to manage multiple files and shifting priorities simultaneously without sacrificing quality. Strong written and verbal communication skills with a professional, polished demeanor. Systems-minded with the ability to create structure and improve processes. Calm under pressure and solutions-oriented. Positive, collaborative team player who genuinely enjoys helping people.
