Job Description
Posting Details The General Services Department (GSD) supports the operations of state government by providing essential services, including procurement, risk management, facilities management, transportation services, and printing services. The Facilities Management Division (FMD), Commercial Real Estate Team is responsible for the procurement of leased space statewide per the provisions of the "State Agencies Leasing Real Property, 1 NMAC 5.21, commonly known referred to as the "Leasing Rule" per the statutory Authority 15.3.2 NMSA. The objective of the Commercial Real Estate Team is to establish a fair, uniform, clean and effective process to regulate leasing property owned by private entities as office space or special use facilities for State of New Mexico executive branch agencies under the jurisdiction of FMD. The Commercial Real Estate Coordinator position supports the planning, coordination, and administration of commercial leasing and property management activities for State of New Mexico facilities. The position assists with lease administration, procurement coordination, records management, and operational support functions related to commercial real estate transactions and facility planning activities. How does it get done?
Key responsibilities:
Provides administrative and operational support for commercial leasing, procurement, and real estate coordination activities. Assists with the preparation, organization, and tracking of Requests for Proposals (RFPs), lease documents, and procurement-related records. Maintains organized and accurate electronic and hard copy lease files, procurement records, and database information to support compliance and operational efficiency. Coordinates timelines, deliverables, and documentation associated with leasing and procurement activities to ensure assignments are completed within established deadlines. Monitors and updates information within the state procurement system and internal databases to support tracking, reporting, and records management. Assists with records retention, archiving, and destruction activities in accordance with state records management requirements and agency procedures. Communicates with agencies, vendors, property owners, and internal staff regarding lease documentation, procurement activities, and project status updates. Supports real estate and facility-related projects by gathering information, organizing documentation, and assisting with coordination efforts. Reviews files and records for completeness, accuracy, and compliance with applicable procedures and regulatory requirements. Provides general administrative support related to commercial leasing and property management operations. Who are the customers? This position provides support and services to executive branch agencies throughout the State of New Mexico, with the exception of the State Land Office. The position works closely with Facilities Management Division (FMD) leadership and operates under the supervision of the Commercial Real Estate Manager. Minimum Qualification Associate's degree in a related field. Any combination of education from an accredited college or university in a related field and/or direct experience in real estate, commercial leasing, property management, contract development and management, and/or government procurement totaling two (2) years may substitute for the required education and experience. Employment Requirements Must possess a valid New Mexico driver's license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Working Conditions The majority of the work is performed sitting and in an office setting with exposure to visual/video display terminal and extensive personal computer, phone usage and may be stressful at times. The selected candidate may be exposed to outdoor conditions and on occasion exposed to dusted, debris and loud noise at construction sites. Direct customer interaction and travel may be required.
