Job Description

Overview Position Title:
Transaction Coordinator, Escrow Assistant, Loan Processor Position Overview:
We are seeking a detail-oriented Transaction Coordinator / Escrow Assistant to help manage real estate, lending, escrow, and closing-related files from intake through completion. This position supports mortgage lending, real estate transactions, document collection, escrow coordination, title review, payoff tracking, and general administrative follow-up. The ideal candidate is organized, responsive, comfortable working with deadlines, and able to keep multiple transaction files moving at the same time. This role requires strong communication skills, attention to detail, and the ability to follow up consistently with borrowers, buyers, sellers, escrow officers, title companies, insurance brokers, lenders, real estate brokers, and internal team members.
Primary Responsibilities:
Coordinate transaction files from opening through closing. Communicate with escrow officers, title companies, borrowers, real estate agents, lenders, attorneys, and vendors. Request, track, and organize required transaction documents. Assist with opening escrow and coordinating title orders. Track escrow timelines, funding conditions, closing requirements, and outstanding items. Review preliminary title reports for basic issues, liens, vesting, legal descriptions, taxes, exceptions, and required follow-up. Help prepare and organize loan files, purchase files, and closing checklists. Track payoffs, insurance, entity documents, trust documents, escrow instructions, and recording requirements. Maintain organized digital files using company systems. Follow up on missing documents and deadline-sensitive items. Assist with preparing closing summaries, transaction updates, and status reports. Coordinate signatures, notary appointments, wire instructions, and funding logistics. Confirm recording, closing, final settlement statements, and post-closing file completion. Provide administrative support to management as needed.
Preferred Experience:
Prior experience as a transaction coordinator, escrow assistant, title assistant, loan processor, real estate assistant, or mortgage assistant. Familiarity with escrow, title, real estate contracts, deeds of trust, promissory notes, preliminary title reports, settlement statements, and closing documents. Experience with private money lending, mortgage lending, real estate brokerage, or property management is helpful but not required. Comfortable working with Microsoft Office, Google Workspace, Adobe/PDF tools, email, and cloud-based file systems. Experience with MS Word/Excel, AppFolio, or transaction management software is a plus.

$52,000.00 - $65,000.00 per year
