Job Description

A top-producing real estate agent in Sandusky, OH is seeking a highly organized, detail-driven Full-Time Personal Assistant to support a high-volume practice. This agent manages approximately $40 million in annual production and requires a dedicated professional to manage the administrative, transactional, and client-facing demands of the business. This is not an entry-level administrative role. The ideal candidate has direct real estate experience, understands the lifecycle of a real estate transaction, and is capable of operating with a high degree of autonomy while keeping the practice running smoothly. Key Responsibilities Transaction Coordination Own and manage all transaction files from executed contract through closing Track and follow up on all required documents, disclosures, and signatures Audit files at each milestone to identify and resolve missing items before they become closing-day issues Coordinate with title companies, lenders, inspectors, and co-op agents to keep transactions on schedule Maintain a master transaction checklist and status tracker across all active files Client Communication & Follow-Up Serve as the primary point of contact for clients during the transaction process Communicate updates, next steps, and document requests to buyers, sellers, and cooperating parties Respond to client inquiries promptly and professionally on behalf of the agent Manage post-closing follow-up and client relationship touchpoints Scheduling & Calendar Management Manage the agent's calendar including showings, appointments, closings, and personal commitments Schedule and confirm all transaction-related appointments (inspections, walkthroughs, closings) Proactively flag scheduling conflicts and resolve them before they impact clients Prepare the agent's daily agenda and ensure they are briefed and on time Manage email inbox and ensure timely responses and follow-up Must be social media savvy — comfortable managing and posting across platforms on behalf of the agent Required Qualifications Minimum 2 years of direct real estate experience (as a licensed agent, transaction coordinator, or real estate assistant) Working knowledge of Ohio real estate contracts, disclosures, and the transaction process from contract to close Exceptional attention to detail — ability to catch missing documents and errors before they become problems Strong written and verbal communication skills Proficiency with real estate software and CRM tools (experience with MLS, DocuSign, and transaction management platforms preferred) Ability to manage multiple active files simultaneously without dropping details Comfortable working with a high-producing, fast-moving agent — must be proactive, not reactive What Success Looks Like In the first 90 days, the right candidate will have fully taken over transaction file management, established a working rhythm with the agent, and measurably reduced the number of missing documents and last-minute closing issues. Within six months, clients and office administration should regularly interact with this assistant as the reliable point of contact for all transaction logistics.
