Job Description
Position Summary The Title Escrow Officer is responsible for managing residential and/or commercial real estate transactions from contract to closing while ensuring compliance with company procedures, underwriter requirements, lender instructions, and state regulations. This role requires strong organizational skills, attention to detail, professionalism, and the ability to communicate effectively with buyers, sellers, lenders, real estate agents, attorneys, and vendors. The Escrow Officer serves as the primary point of contact throughout the transaction and is responsible for coordinating all closing activities, reviewing title requirements, preparing settlement documents, handling escrow funds in accordance with company policy, and ensuring a smooth and compliant closing process. Essential Duties & Responsibilities File Management & Transaction Coordination Open and maintain escrow files from contract through post-closing Review purchase contracts and escrow instructions for accuracy and completeness Verify all required documentation has been received and properly uploaded into the file system Coordinate communication between buyers, sellers, lenders, agents, attorneys, HOA/Condo associations, survey companies, and other third parties Track all critical contract deadlines including: Inspection periods Financing deadlines HOA application deadlines Closing dates Maintain accurate notes and updates within the company software system Ensure all files meet company standards and underwriter requirements prior to closing Title & Commitment Review Review title commitments and title searches for accuracy Identify and resolve title defects, including: Open mortgages Judgments Liens Probate matters Divorce issues Permit/code violations HOA/Condo balances Boundary or survey issues Coordinate with title underwriters regarding curative matters Obtain required payoff statements, releases, satisfactions, and corrective documents Ensure all title requirements are satisfied before funding and closing Escrow & Closing Responsibilities Prepare or review Closing Disclosures (CDs), settlement statements, and escrow documents Verify lender funding instructions and compliance requirements Coordinate signing appointments and remote/mobile notaries when necessary Review executed closing packages for completeness and accuracy Ensure all documents are properly signed, notarized, and dated Balance and verify escrow transactions before disbursement Follow all company escrow procedures and wire fraud prevention protocols Coordinate approved disbursements through authorized escrow procedures Ensure no funds are released without proper authorization and approval Compliance & Risk Management Maintain compliance with: State regulations Underwriter guidelines CFPB requirements Company policies and procedures Wire fraud prevention protocols Privacy and confidentiality requirements Protect all non-public personal information and confidential company information Follow cybersecurity best practices including: Locking computers when away from workstation Secure handling of wiring instructions Verifying all wire changes verbally using approved procedures Report suspicious activity, fraud concerns, or compliance issues immediately Maintain accurate and audit-ready files at all times Customer Service & Communication Provide professional and timely communication to all parties involved in the transaction Respond to emails, calls, and requests promptly and professionally Keep clients and agents informed regarding file status and outstanding requirements Assist with resolving transaction issues in a calm and professional manner Maintain a positive and solution-oriented attitude under pressure Post-Closing Responsibilities Ensure all documents are properly scanned and uploaded Confirm recording packages are complete and submitted timely Verify lender packages and original documents are returned as required Assist with post-closing issues and document corrections when necessary Ensure files are complete for auditing and policy issuance Required Qualifications High school diploma or equivalent required Experience in title, escrow, mortgage, or real estate transactions preferred Knowledge of real estate closing procedures and title processing Familiarity with settlement statements, title commitments, and lender requirements Strong organizational and multitasking skills Excellent verbal and written communication skills Ability to manage deadlines in a fast-paced environment Strong attention to detail and accuracy Professional demeanor and customer service skills Ability to maintain confidentiality and handle sensitive information responsibly Preferred Qualifications Florida title or escrow experience preferred Experience with Qualia or similar title software Knowledge of ALTA Best Practices Experience handling residential and/or commercial transactions Notary Public commission preferred Work Environment Office and/or remote work environment depending on company policy Frequent computer and phone usage Ability to work under deadlines and manage multiple files simultaneously Overtime may occasionally be required during high-volume periods; however, overtime must be approved in advance by management Performance Expectations The Escrow Officer is expected to: Maintain accurate and compliant files Meet company productivity and communication standards Follow all company procedures consistently Work collaboratively with staff and vendors Maintain professionalism with clients and team members Contribute to a positive and efficient work environment Acknowledgment Employees in this position are expected to read, understand, and comply with all company policies, procedures, confidentiality requirements, cybersecurity policies, wire fraud procedures, and operational standards.
