This role requires strong organizational skills, attention to detail, and the ability to manage multiple transactions and operational tasks simultaneously. ⸻ Core Responsibilities (Transaction Coordination)
  • Manage real estate transactions from contract to closing
  • Review and organize all transaction documents (Purchase Agreement, Disclosures, etc.)
  • Send and track electronic signatures via DocuSign
  • Maintain transaction timelines and ensure all deadlines are met
  • Coordinate with buyers, sellers, lenders, escrow, title, and all related parties
  • Track key milestones: inspection, appraisal, loan, contingency removal
  • Ensure compliance with California real estate requirements
  • Final file review prior to closing and complete transaction file archiving ⸻ Operations & Coordination
  • Manage agent calendar, appointments, and scheduling
  • Serve as main point of contact for all vendors (escrow, lenders, inspectors, photographers, etc.)
  • Coordinate showings, inspections, and transaction-related appointments
  • Provide regular updates to agent on transaction progress ⸻ Systems & Software (Required) Candidates must be comfortable using:
  • E-sign platforms (especially DocuSign)
  • MLS systems (listing input, updates, status changes)
  • California Association of Realtors (C.A.R. Forms)
  • SkySlope (transaction management & compliance)
  • Monday.com (workflow tracking)
  • CRM systems (client & pipeline management)
  • Mailchimp (basic use)
  • PDF editing tools (document organization & editing)
  • Microsoft Office / Google Workspace / PowerPoint ⸻ Qualifications
  • Previous Transaction Coordinator or real estate experience preferred
  • Strong understanding of California real estate transaction process
  • Highly detail-oriented, organized, and responsible
  • Able to manage multiple transactions at once
  • Strong communication and follow-up skills
  • Bilingual (English & Chinese) preferred ⸻ Job Type
