Job Description

Position Summary The Weitzel & Andrew Home Team is seeking a highly organized and detail-oriented Listing Coordinator to support the execution and management of residential real estate listings from pre-listing through closing. This role is well-suited for candidates with experience in real estate, transaction coordination, or administrative operations who can effectively manage processes, timelines, documentation, and communication in a structured, fast-paced office environment. The ideal candidate is proactive, accurate, accountable, and able to manage multiple responsibilities with a high level of professionalism and attention to detail. About the Team The Weitzel & Andrew Home Team is an established, high-performing real estate team serving Whatcom County and surrounding areas. The team is recognized for its client-focused service, consistent production, and commitment to operational excellence. This position plays a key role in maintaining service standards and supporting team operations. Key Responsibilities Manage the full listing lifecycle from pre-listing preparation through closing Prepare, review, and maintain listing agreements, disclosures, and compliance documentation Maintain accurate MLS, CRM, and transaction records, ensuring all listing data, communication, and timelines are up to date Coordinate all pre-listing preparation, including sellers, agents, and vendors (repairs, cleaning, staging, photography readiness) Schedule and manage all vendor services, ensuring timelines are executed in the correct order and on schedule Execute listing marketing, including MLS activation, marketing remarks, social media, email campaigns, print materials, and launch coordination Develop and manage pre-market and active listing marketing efforts, including "Coming Soon" campaigns and listing promotion Serve as the primary point of contact for sellers, agents, and vendors, ensuring clear, consistent communication throughout the listing process Proactively manage timelines, anticipate needs, and resolve issues to ensure a smooth listing experience and reduce agent workload Support ongoing listing performance, including marketing updates, feedback coordination, and seller communication while active on market Qualifications 1-3 years of experience in real estate administration, listing coordination, transaction coordination, or a similar operations-focused role Strong understanding of real estate processes, documentation, and compliance requirements Exceptional organizational skills with the ability to manage multiple listings, timelines, and deadlines simultaneously High level of attention to detail and accuracy across contracts, data entry, and marketing materials Professional communication skills, with the ability to effectively coordinate with clients, agents, and vendors Experience managing CRM systems, MLS platforms, and standard business tools (Microsoft Office and Google Workspace) Familiarity with real estate marketing processes, including listing launches, marketing materials, and digital promotion Ability to follow structured systems while also anticipating needs and problem-solving proactively in a fast-paced environment How to Apply To apply, please email your resume and brief cover letter to: sydneyweitzel@nwhomes.net In your email, please include one specific thing you are looking forward to about this position or why you chose to apply , along with how you believe you can positively contribute to the team.
