Real Estate Operations Assistant, Licensed Assistant Track About the Role A busy, high-performing Realtor serving Pullman, Moscow, Whitman County, and Latah County is hiring a highly organized, detail-oriented, and personable Real Estate Operations Assistant. This is an operations-first role designed for someone who enjoys administrative work, scheduling, systems, client care, marketing support, transaction organization, and in-person field support. The ideal candidate will be reliable, responsive, tech savvy, professional, and comfortable representing the business with clients, vendors, agents, and the public. Licensed Assistant Track This role includes a path to becoming a licensed Washington real estate broker. The purpose of becoming licensed is to allow the assistant to provide more complete support to the business and clients, including helping with showings, open houses, property access, buyer and seller communication, and contract-related support under brokerage supervision. This is not intended to be a traditional sales role or a stepping stone away from administrative and operations responsibilities. The foundation of the position will remain administration, operations, scheduling, transaction coordination support, listing support, marketing support, client care, and systems. Licensing is intended to expand the assistant's ability to support the business, not replace the operational focus of the role. Technology, AI, and Systems This is also a tech-forward role. The right candidate should be willing to learn and help implement AI tools, LLMs, automations, CRM workflows, templates, checklists, and other systems that make the business more efficient. Prior experience with AI or automation tools is a plus, but curiosity, good judgment, and willingness to learn are more important. Responsibilities Managing scheduling, reminders, appointments, showings, inspections, photography, sign installs, vendor access, and client meetings Supporting listing launches from preparation through marketing rollout Coordinating signs, lockboxes, keys, flyers, open house materials, print jobs, errands, and property access Assisting with transaction administration, deadline tracking, document organization, inspection timelines, lender and title updates, and client reminders Maintaining CRM contacts, tags, notes, follow-up tasks, client categories, review requests, birthdays, and home anniversaries Drafting routine emails, social media captions, listing updates, YouTube descriptions, and marketing materials for review Preparing open house materials, showing packets, buyer folders, seller folders, and client communication templates Using technology to improve systems, checklists, workflows, follow-up, and communication Helping implement AI, LLM, and automation tools to reduce repetitive tasks and improve business efficiency Providing professional in-person support for clients, vendors, agents, open houses, showings, and property-related tasks as appropriate Ideal Qualifications Strong administrative and organizational skills High attention to detail Excellent follow-through and reliability Professional written and verbal communication Comfortable learning and using technology Willingness to learn AI tools, LLMs, automations, CRM systems, and workflow tools Good judgment when using technology, especially with client information and professional communication Personable, calm, and service-oriented Able to handle confidential client information with discretion Reliable transportation for local property-related tasks Available to work in person in Pullman and the surrounding area several days per week Available for occasional weekend support for showings, open houses, property access, and client needs Interested in real estate, but not primarily seeking a traditional sales role Willing to pursue a Washington real estate broker license after proving strong performance in the administrative and operations side of the role Who This Role May Be a Good Fit For This position may be a good fit for someone who enjoys keeping tasks organized, helping clients have a smooth experience, improving systems, coordinating details, learning new technology, and being a trusted support person in a fast-moving real estate business. Who This Role Is Not a Good Fit For This position is probably not a good fit for someone who only wants to become a real estate salesperson, does not enjoy administrative work, dislikes checklists or deadlines, needs constant reminders, is unavailable for occasional weekend support, is uncomfortable with professional client communication, or is unwilling to learn new technology. Growth Potential This role will begin part-time with the potential to grow. There will be a 90-day ramp period focused on learning the business, proving reliability, building systems, and taking meaningful operational work off the lead agent's plate. For the right person, this role can grow into a long-term licensed assistant position with increased responsibility and compensation.
Pay:
$20.00 - $25.00 per hour
