Are you someone who thrives on keeping everything running smoothly, both personally and professionally? We are looking for a motivated individual who can take ownership of managing schedules, communications, and day-to-day tasks. This role requires someone proactive, who can anticipate needs and priorities, and isn't afraid to speak up when focus is needed. You'll be a key player in helping balance business growth with maintaining a high level of customer service with current clientele, ensuring our Team Operator is on track.
What You'll Do:
Comprehensive Support:
Assist the Team Operator in managing all facets of their professional and personal responsibilities.
Calendar, Database & Time Management:
Oversee the Operator's schedule, prioritize tasks, and protect their time. Ensure they are focusing on high-priority work and personal commitments.
Email & Communication Management:
Handle emails and correspondence, often speaking on behalf of the Operator. Keep communication clear, professional, and timely.
Client Engagement:
Provide world-class service to clients through phone and email, maintaining a strong relationship pre-contract, through contract, and post-closing.
Scheduling:
Confirm and coordinate appointments and showings for buyers.
Liaison Duties:
Serve as the bridge between the Team Operator and co-brokers, attorneys, escrow companies, mortgage brokers, and clients.
Administrative Tasks:
Submit receipts, manage mail, maintain office supplies and equipment, and provide general administrative support.
Event Coordination:
Coordinate agent team and recruiting events that take place monthly, including marketing, and vendor negotiation
Social Media Management:
Maintain and update the Team Operator's social media profiles.
Training & Development:
Participate in weekly 1:1 coaching sessions and attend relevant trainings to ensure continuous improvement.
Problem Solving:
Keep the Team Leader informed of challenges, while offering solutions proactively.
Execute Special Assignments:
picking up lock boxes, dropping off flyers, giving access to vendors, scouting event locations, picking up office supplies

You have demonstrated experience, coordinating multiple priorities, timelines, and stakeholders to ensure projects were completed efficiently and on schedule.
Requirements:
1+ years of experience in an administrative or executive assistant role. Ability to write reports, business correspondence, and procedure manuals. Demonstrated ability to manage schedules, email, and communications with minimal oversight. General understanding of real estate is a plus
Compensation & Other Details:
Compensation:
$23/hr. This is a full-time, in-office position, requiring occasional nights and/or weekends We're excited to meet candidates who are eager to grow and take ownership of this critical role in our organization.
