Job Description

Rental Agent Job Summary The Rental Agent is responsible for assisting customers with vehicle rentals from start to finish. This includes checking customers in and out, verifying documents, collecting payments, explaining rental policies, conducting vehicle inspections, and providing excellent customer service throughout the rental process. Key ResponsibilitiesCustomer Check-In Welcome customers upon arrival. Verify driver's license, insurance, and identification requirements. Review and explain rental agreements, policies, and fees. Collect rental payments, deposits, and required documentation. Answer customer questions regarding vehicle options and rental terms. Vehicle Pickup Process Conduct vehicle walk-around inspections with customers at pickup. Document vehicle condition with photos and inspection reports. Verify fuel level and mileage before releasing the vehicle. Explain vehicle features, rental policies, and return procedures. Provide keys and complete the rental handoff process. Ensure all required documents and signatures are collected before releasing the vehicle. Customer Support Assist customers with reservation modifications and extensions. Respond to phone calls, text messages, and email inquiries. Resolve customer concerns professionally and efficiently. Coordinate with customer service and management regarding issues or escalations. Vehicle Returns Receive returning vehicles. Conduct post-rental inspections. Verify fuel level, mileage, and vehicle condition. Document damages, missing items, or policy violations. Process deposit releases according to company policy. Administrative Duties Maintain accurate customer records. Update rental software and reservation systems. Ensure rental agreements and supporting documents are properly filed. Follow company procedures regarding insurance, payments, and compliance requirements. Qualifications High school diploma or equivalent. Strong customer service and communication skills. Basic computer and smartphone proficiency. Ability to multitask in a fast-paced environment. Valid driver's license preferred. Previous rental, hospitality, automotive, or customer service experience is a plus.
