Job Description

RENTAL COORDINATOR LOCATION
Mansfield, Ohio
COMPENSATION
$22.00 - $27.00/hour - Based on Experience
JOB SUMMARY
We are seeking a highly organized and detail-oriented individual to join our team as a Rental Coordinator. The primary responsibility of this role is to manage the rental process for our fleet of terminal tractors/yard trucks, ensuring smooth operations and exceptional customer service. The Rental Coordinator will be responsible for coordinating reservations, managing paperwork, coordinating vehicle maintenance, and providing support to customers throughout the rental process.
ESSENTIAL FUNCTIONS
Coordinate Rental Process:
Receive and process rental inquiries and reservations from customers. Ensure accurate and timely completion of rental agreements and related paperwork. Coordinate the pickup and return of trucks, ensuring availability and readiness. Communicate with customers to confirm reservations, provide rental details, and address any questions or concerns.
Customer Service and Support:
Provide exceptional customer service by addressing customer inquiries, concerns, and complaints promptly and professionally. Assist customers in selecting the appropriate truck for their needs and provide guidance on rental policies and procedures. Ensure customers receive accurate and detailed information regarding rental rates, terms, and conditions. Resolve any issues or disputes related to rental agreements or vehicle conditions.
Inventory Management:
Maintain accurate records of the fleet, including vehicle availability, mileage, and maintenance history. Coordinate with the procurement team to ensure an adequate supply of trucks for rental purposes. Monitor and track rental truck utilization and recommend adjustments to optimize fleet efficiency.
Administrative Tasks:
Prepare and maintain rental files, including rental agreements, insurance documents, and customer information. Generate reports on rental activity, revenue, and customer feedback. Assist with billing and invoicing processes, ensuring accuracy and timeliness. Collaborate with the billing department to reconcile rental transactions and resolve any discrepancies.
Vehicle Maintenance and Inspection:
Schedule regular maintenance and inspections for the fleet of short-term trucks. Coordinate repairs and maintenance with internal mechanics or external service providers. Conduct pre-rental inspections to ensure vehicles are in proper working condition. Document and report any damage or issues with the trucks to the appropriate parties.
POSITION QUALIFICATIONS EDUCATION
High school diploma or equivalent; a bachelor's degree in business administration or a related field is preferred.
EXPERIENCE
Proficient in Microsoft Office Suite. Proven experience in a similar administrative role, preferably in the truck rental or transportation industry.
ADDITIONAL REQUIREMENTS
Valid driver's license and clean driving record. Ability to lift 25lbs to perform physical tasks related to vehicle inspections and maintenance. Excellent organizational and time management skills, with the ability to prioritize tasks effectively. Exceptional customer service and communication skills, both written and verbal. Ability to work independently and collaboratively in a fast-paced environment. Other duties similar in nature as needed.
