07/05/2026 Building Scheduling and Rental Coordinator Position Purpose Under the direct supervision of the Director of Operations to provide clerical and administrative assistance to district and school personnel as well as the community regarding all district facility use. Essential Functions Excellent communication skills, both verbal and written. Will function as liaison between schools and the community. Will be responsible for ensuring that all rental requirements are communicated to appropriate building staff. Excellent customer service skills. Will be responsible for fielding questions and concerns from public renters as well as district personnel. Compose documents (e.g., notices, correspondence, bulletins, reports, brochures, and online) Maintains daily/weekly/monthly/yearly calendars for building use district wide. Maintains documents, files, and records for the purpose of providing up to date reference and audit trail for compliance. Ensures compliance with district rental policies district wide. Quick learning and adaptive. Ability to stay up to date with the latest trends and best practices in digital communications and software. Needs to have a proven ability to quickly master new software applications. Will be responsible for facilitating the onboarding and training of team members on these various software solutions ensuring they can effectively and efficiently utilize these tools in their work. Handle multiple projects and tasks simultaneously, managing priorities effectively to meet deadlines and organizational goals. Experience with keeping online presence up to date and accurate. Will need to work with department heads to ensure that information is accurately and professionally represented. Excellent computer skills (e.g., Microsoft Suite, email, and all other required software tools.) Keep in close contact with renters and district employees by sending monthly emails with pertinent information. Provide in-building trainings on the building rental system for new employees or to provide additional help. Set up accounts for district employees. Manage and update the building rental platform with current photos and facility descriptions. Assist renters with inputting rentals. Additional Duties Performs other related duties, as assigned, for the purpose of ensuring efficient and effective facility rentals for both community and district staff. Equipment Uses standard office equipment such as personal computer, copy machine/scanner, fax and telephone. Travel Requirements Limited travel to district buildings may be required. Knowledge, Skills and Abilities Ability to describe problems and work orally or in writing. Ability to establish and maintain cooperative working relations with others contacted in the course of work. Ability to carry out instructions furnished either written or verbally. Ability to understand, apply, and use personal computers and software applications. Ability to solve job-related issues. Ability to work with a diverse group of individuals. Excellent organization and time management skills. Ability to quickly learn and master new software applications. Physical and Mental Demands, Work Hazards Works in standard office environment. Qualification Profile Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. High school diploma or equivalent.
