Job Description

Job Summary:
The Shop Clerk - Administrative is responsible for supporting the day-to-day operations of the maintenance shop by performing clerical, data entry, and inventory tracking duties. This role ensures accurate documentation of work orders, parts usage, equipment maintenance records, and vendor communications. The Shop Clerk plays a vital role in keeping the maintenance team organized, efficient, and compliant with internal and regulatory requirements.
Key Responsibilities:
Maintain and organize work orders, repair logs, and preventative maintenance records. Track inventory of parts, tools, and supplies; assist with ordering and restocking materials. Receive and verify incoming shipments of parts and shop supplies; reconcile with purchase orders. Assist with scheduling equipment service, repairs, and inspections. Communicate with vendors and suppliers to coordinate orders, deliveries, and quotes. Enter data into maintenance management systems or spreadsheets for accurate tracking. Prepare and file reports, timesheets, invoices, and other administrative documents. Support the shop team with clerical tasks such as printing labels, updating job boards, and filing safety documentation. Maintain cleanliness and organization of office and parts storage areas. Assist with compliance documentation related to safety and equipment inspections.
Qualifications:
High school diploma or GED required; vocational training or office administration coursework preferred. Previous experience in clerical, inventory, or maintenance support roles—preferably in an agricultural or mechanical setting. Proficient in Microsoft Office (Excel, Word, Outlook); experience with inventory or maintenance software a plus. Strong attention to detail, time management, and organizational skills. Effective communication skills and ability to work well with mechanics, vendors, and leadership. Ability to handle multiple priorities in a fast-paced environment. Bilingual (English/Spanish) is a plus.
Physical Requirements:
Ability to sit, stand, and walk for extended periods. Occasionally lift up to 25 lbs. May need to enter shop or outdoor areas to verify parts or assist with tasks.
Work Environment:
Primarily office-based with routine exposure to shop and equipment areas. May be exposed to noise, dust, and grease typical of a maintenance or agricultural shop.
