  • Full-time Overview Administrative Assistant & Coworking Space Manager Position Summary The Administrative Assistant & Coworking Space Manager serves a dual role supporting the daily operations of the Economic Development Department while overseeing the management, programming, and member experience of the organization's coworking space.
This position is responsible for administrative coordination, stakeholder communications, office management, event support, and ensuring a welcoming, productive environment for coworking members, entrepreneurs, remote workers, and business clients. The ideal candidate is highly organized, customer-focused, technologically proficient, and passionate about supporting local business growth and entrepreneurship. Essential Duties and Responsibilities Economic Development Administrative Support Provide administrative support to the Economic Development Director and department staff. Prepare correspondence, reports, presentations, agendas, meeting minutes, and other business documents. Maintain departmental records, databases, project files, and contact lists. Coordinate meetings, appointments, and community stakeholder engagements. Assist with grant administration, data collection, reporting, and project tracking. Respond to inquiries from businesses, developers, investors, and the public. Support economic development initiatives, business retention and expansion efforts, and special projects. Assist with marketing and communications, including newsletters, social media content, website updates, and promotional materials. Coordinate logistics for workshops and business development programs. Monitor office supplies, maintain filing systems, and support day-to-day departmental operations. Coworking Space Management Serve as the primary point of contact for coworking members, visitors, and prospective tenants. Manage memberships, reservations, billing, contracts, and onboarding processes. Conduct tours of the facility and assist with membership recruitment and retention efforts. Ensure coworking spaces, meeting rooms, and common areas are clean, organized, and fully operational. Coordinate facility maintenance, vendor relationships, and service requests. Plan and facilitate networking events, educational workshops, and community-building activities. Monitor facility usage and generate occupancy and membership reports. Manage coworking software platforms, booking systems, and member databases. Foster a professional, collaborative, and welcoming environment for entrepreneurs, startups, remote workers, and business professionals. Develop strategies to increase membership utilization and community engagement. Customer Service & Community Engagement Deliver exceptional customer service to members, businesses, partners, and visitors. Build positive relationships with local businesses, entrepreneurs, community organizations, and stakeholders. Represent the organization professionally at meetings, events, and networking functions. Promote economic development programs and coworking space services throughout the community. Required Qualifications Associate degree in Business Administration, Public Administration, Communications, Economic Development, or a related field; bachelor's degree preferred. Strong organizational and time-management skills. Excellent verbal and written communication abilities. Proficiency with Microsoft Office Suite, Google Workspace, and standard office technology. Ability to manage multiple priorities and work independently. Experience coordinating events, meetings, or community programs preferred. Preferred Qualifications Experience in economic development, entrepreneurship support, chamber of commerce operations, nonprofit management, or workforce development. Experience managing coworking spaces, business incubators, innovation hubs, or shared office environments. Familiarity with CRM systems, membership management software, and social media platforms. Knowledge of local business resources, community development initiatives, and economic development practices. Knowledge, Skills, and Abilities Strong customer service orientation. Attention to detail and accuracy. Ability to maintain confidentiality. Problem-solving and decision-making skills. Ability to work effectively with diverse stakeholders. Event planning and project coordination capabilities. Self-motivated with a proactive approach to responsibilities. Physical Requirements Ability to sit, stand, walk, and use standard office equipment for extended periods. Ability to occasionally lift and carry materials weighing up to 25 pounds. Ability to assist with room setup and event logistics as needed. Work Environment This position operates in a professional office and coworking environment with frequent interaction with business leaders, entrepreneurs, community partners, and the public. Occasional evening or weekend work may be required to support meetings, events, and special programs. Salary and Benefits Salary is commensurate with qualifications and experience.
