Job Description

Position Overview The Assistant Practice Manager plays a key role in supporting daily operations across the practice while ensuring an exceptional client experience. This role bridges leadership and front-line teams, helping to drive efficiency, team accountability, and service excellence while upholding fillir's core values. Key ResponsibilitiesOperations & Daily Flow Support day-to-day clinic operations to ensure smooth, efficient workflows Assist in managing schedules, staffing coverage, and provider utilization Troubleshoot operational issues in real time with a solutions-first mindset Maintain cleanliness, organization, and overall clinic standards Client Experience Uphold Fillir's commitment to a high-touch, personalized client experience Address client concerns professionally and promptly Step in to support front desk (Client Coordinators) during high-volume times Ensure all client interactions reflect Fillir's "never pushy, always supportive" approach Team Support & Leadership Act as a resource and support system for all team members Help onboard and train new hires on systems, protocols, and service standards Reinforce policies, expectations, and company culture Provide real-time coaching and feedback to improve performance Sales & Performance Support Support team in achieving revenue goals through education—not pressure Monitor daily metrics (appointments, rebooking, retail, etc.) Encourage consistent communication around promotions and membership benefits Help drive retention and referral program awareness Administrative & Compliance Ensure adherence to company policies, treatment protocols, and safety standards Assist with inventory management and supply ordering Support documentation accuracy (consents, charts, etc.) Coordinate with leadership on reporting and operational updates Marketing & Events Support Assist with in-store promotions, events, and partnerships Support execution of campaigns (text, email, social coordination) Help ensure brand consistency across all client touchpoints Qualifications 2+ years of experience in medical aesthetics, healthcare, or hospitality management preferred Strong leadership and communication skills Highly organized with the ability to multitask in a fast-paced environment Solutions-oriented with a proactive mindset Passion for client experience and team development What We Value at fillir A "YES" mindset
