Job Description

Conejo Hardwoods is seeking an Administrative Assistant / Sales Support to support showroom operations and installation projects. This role is heavily focused on supporting our F ield Project Coordinator while also assisting customers on the showroom floor. This is not a back-office admin role. We are looking for someone who is highly organized, customer-facing, and comfortable working with homeowners, contractors, designers, and architects in a high-end, design-focused environment. Key Responsibilities Provide direct administrative support to the Field Project Coordinator (scheduling, job tracking, documentation) Support customers on the showroom floor, assisting with product questions and project needs Coordinate communication between showroom, clients, vendors, and installation crews Issue purchase orders, verify pricing, and receive materials Assist with scheduling installation crews and coordinating deliveries Manage project billing (deposits, progress billing, final invoicing) Work with accounting to resolve vendor and billing discrepancies Maintain accurate, organized project files and status updates Help maintain a clean, organized, and professional showroom environment Deliver strong customer service and follow-through on all projects Requirements Full-time, onsite availability (Saturdays required) Experience in project coordination, operations, or customer-facing sales support Comfortable working directly with customers in a showroom environment Strong organizational skills with the ability to manage multiple projects Excellent communication and interpersonal skills Detail-oriented with strong follow-through Proficiency in Excel and general computer systems Ability to work in a fast-paced, team environment What We're Looking For Experience in building materials a plus Experience working with contractors, builders, architects, or designers a plus Professional, personable, and confident working with high-end clientele Strong sense of ownership and follow-through Able to balance administrative work with customer interaction Comfortable in a fast-moving, detail-driven environment Team-oriented with a "jump in and help" mindset Skills Strong organization and multitasking Problem-solving and critical thinking Attention to detail and accuracy Clear, professional communication Ability to manage an ever-changing schedule What We Offer Full-time position Medical, dental, and vision plan options 401(k) plan options Paid time off Competitive compensation based on experience Stable, team-oriented work environment Opportunity to work on design-focused projects with industry professionals
