Briefing and Meetings Support Specialist About GuROO:
At GuROO our mission is to deliver Enterprise Network Engineering, Enterprise IT, Program Management, and Project Management support to large commercial corporations, government agencies, and government-contracted agencies within the Washington, DC metropolitan area and beyond. Responsibilities & Duties include, but are not limited to: We are seeking a highly organized and detail-oriented Briefing and Meetings Support Specialist to support the planning and execution of meetings, briefings, and executive-level engagements. This role is critical in ensuring seamless coordination, high-quality briefing materials, and effective communication across stakeholders. The ideal candidate thrives in a fast-paced environment, demonstrates strong professionalism, and has experience supporting senior leadership.
Here's What You'll Need:
Key Responsibilities Coordinate, schedule, and manage meetings, briefings, and conferences across internal and external stakeholders Prepare agendas, briefing materials, presentations, and reports Maintain calendars, send meeting invitations and room reservations (physical and virtual) across multiple stakeholders Provide day-of-meeting support on-site and virtual, including room setup and virtual platform management (e.g., Webex, Teams, Zoom) Record meeting minutes, track action items, and distribute follow-up documentation Ensure security protocols and confidentiality requirements are followed (especially in government or corporate environments) Collaborate with leadership and staff to ensure readiness for briefings Maintain organized records of meetings, briefings, materials, and outcomes Troubleshoot logistical or technical issues before and during meetings Ensure confidentiality and compliance with organizational policies Assist with travel coordination and event logistics as needed
Minimum Experience:
Bachelor's degree in Business Administration, Communications, or related field (or equivalent experience) Experience operating conference room audio-visual projection equipment Provide day-to-day operational support 5+ years of experience in administrative support, meeting coordination, or executive support Strong organizational and multitasking skills Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Proficiency with SharePoint, Jira and Confluence Ability to work independently and manage competing priorities Familiarity with virtual meeting platforms (Microsoft Teams, Zoom, WebEx) Experience preparing briefing materials and presentations Knowledge of records management and document practices Prior experience in a government or defense environment
Additional Requirements:
Ability to obtain and maintain a security clearance (if required) Strong attention to detail and discretion when handling sensitive information
