Job Description

Job Overview We are seeking an organized, dependable, and high-energy Administrative Assistant to manage our front desk and drive support for our sales and marketing campaigns. Operating out of our printing, mailing, and fulfillment facility, you will serve as the primary face and voice of our company. This role requires exceptional communication skills across all channels. You will keep our daily administrative operations running smoothly while actively collaborating with our sales team and providing cross-departmental backup as needed.
Responsibilities Front Office & Reception In-Person Greeting:
Welcome clients, vendors, and visitors with an approachable, professional demeanor.
Phone Management:
Answer and manage a multi-line phone system with clear, professional etiquette, routing calls accurately.
Written Correspondence:
Draft polished, grammatically correct email correspondence to customers and vendors via Microsoft Outlook.
Customer Order Pickups:
Process credit card payments for local pickups, log transactions accurately, and keep the customer pickup area organized.
Office Upkeep:
Maintain a clean, tidy, and welcoming environment in the reception and common areas.
Marketing & Sales Campaign Execution Campaign Outreach:
Assist in creating and launching email marketing blasts via Outlook, actively tracking and organizing client responses.
Lead Generation:
Conduct outbound sales research, initiate first-point-of-contact outreach, and schedule follow-up meetings or route leads to the appropriate sales representative.
Campaign Support:
Participate in multifaceted sales campaigns, which may involve coordinating direct mailings, fulfillment projects, basic video creation, social media engagement, and in-person events.
Cross-Departmental Support Filing & Organization:
Maintain organized physical filing systems and well-structured digital folders for shared company access.
Departmental Backup:
Step in flexibly to assist other internal teams (such as Customer Service, Accounting, or Production) during peak periods or high-volume projects.
Requirements Exceptional Communication:
Advanced verbal, written, and interpersonal communication skills across all mediums.
Experience:
1-2 years of experience in front desk operations, reception, or office administration, ideally paired with 1-2 years of exposure to sales or marketing support.
Adaptability:
A flexible mindset with the ability to shift priorities and support different departments on short notice.
Dependability:
Punctual and reliable attendance is critical to ensure consistent front desk coverage.
Tech-Savviness:
High proficiency with Microsoft Office 365 (Outlook, Word, and Excel).
