Job Description

SUMMARY:
The Administrative and Sales Assistant oversees daily office operations, provides administrative support to the management team, and provides customer sales support.
DUTIES AND RESPONSIBILITIES
Customer Support & Communication Answers incoming calls, provides customer support, and routes calls to the appropriate team members. Responds to customer inquiries promptly and professionally. Follows up with sales leads and customer requests as directed. Administrative & Sales Support Provides administrative support to the sales and management team, including scheduling appointments, preparing reports, and conducting customer follow‑up. Participates in sales meetings and assists with preparing sales presentations, proposals, and related materials. Ensures customer data is accurate, complete, and up‑to‑date in the CRM system. Populates contracts and filling agreements as directed. Assists with quote generation , order entry, and tracking sales pipeline progress. Coordinates with vendors or partners as needed to support the sales cycle. Attends meetings and prepares accurate, timely meeting minutes. Scans, organizes, and files documents as requested. Follows document and record control policies. Generates routine and ad‑hoc reports for sales, operations, and leadership. Office Operations Ensures front‑facing office areas remain clean, organized, and presentable at all times. Monitors office supply inventory and orders supplies as needed or directed. Manages incoming and outgoing mail and package deliveries. Financial & Recordkeeping Support Tracks financial transactions, including accounts receivable and accounts payable. Supports basic bookkeeping tasks as assigned. Prepares checks for owner's signature. Human Resources Support Facilitates new hire onboarding in ADP and supports new hire orientation activities. Scans employee documents into ADP. Assists with annual open enrollment. Workflow and Prioritization Manages daily workflow, prioritizes tasks, and ensures deadlines are met. Proactively identifies issues and escalates them to management when needed. Confidentiality and Compliance Handles sensitive customer, employee, and business information with discretion and adheres to company confidentiality policies.
Pay:
$20.00 - $23.00 per hour
