This role is vital in ensuring smooth daily operations, managing correspondence, and providing exceptional customer support. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to office management. Key Responsibilities Administrative Support Prepare and organize sales documents, proposals, contracts, and presentations. Maintain and update the sales database (CRM) with client information, call notes, and booking details. Schedule and coordinate appointments, site tours, and internal/external meetings. Sales Coordination Assist the sales team with lead follow-up, proposals, and account correspondence. Support RFP (Request for Proposal) processing and distribution to appropriate sales contacts. Track incoming leads and ensure timely responses and documentation. Event & Group Support Assist with group booking coordination, including room blocks, banquet event orders (BEOs), and payment details. Communicate with clients regarding group needs and event logistics as needed. Reporting & Documentation Compile weekly and monthly sales reports, including production, lead tracking, and conversion metrics. Maintain organized filing systems for contracts, agreements, and account data. Marketing Assistance Support local marketing and promotional efforts (e.g., mailings, email campaigns, event preparation). Assist with social media posts, collateral updates, and digital asset organization. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. 1-2 years of experience in an administrative, hospitality, or sales support role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with hotel CRM systems (Delphi, SalesPro, etc.) a plus. Excellent organizational and communication skills. Detail-oriented with the ability to manage multiple priorities and deadlines. Professional demeanor and customer service-oriented attitude.
