PRIMARY JOB FUNCTION
Coordinate every aspect of establishing and maintaining new and existing accounts and sales records, reporting directly to the Sales Administration and Marketing Manager. This position is responsible for onboarding new customers, managing pricing, coordinating customer freight logistics, and producing specialized reports in support of our cement, pozzolan and aggregate product lines. Independent judgement is required to plan, prioritize, and organize diversified workload.
ESSENTIAL REQUIREMENTS
Required and predictable attendance Knowledge, Skills & Abilities Two plus years of experience in a sales support, customer service, or operations role Exceptional customer service, communication skills, and professionalism Strong written and verbal communication skills; able to communicate clearly with customers, carriers and coworkers Prior experience using Command, PeopleSoft, SAP, or similar billing programs or equivalent experience and /or education preferred Highly organized, self-directed, and capable of managing multiple priorities simultaneously without close supervision Proficiency in Microsoft Excel, including formulas, creating templates, sorting/filtering, and pivot tables Competency with Microsoft Word for preparing professional documents, templates, and correspondence Experience creating, editing, and managing documents in Adobe Acrobat PDF format Demonstrated ability to manage mass data updates accurately, with a strong track record of catching and correcting errors before they escalate Work with a high degree of confidentiality Experience supporting upper-level management with varied and time-is-of-the essence tasks as needed Able to prioritize workload and function under pressure when working with numerous staff and tasks
DUTIES & RESPONSIBILITIES
Understand and follow company policies and procedures including safety guidelines Coordinate new customer account set up functions; prepare required documents, distribute and collect completed documents, review customer purchase orders, and edit as needed, notifying appropriate personnel of new customers/orders Maintains strict confidentiality over sensitive account information including pricing, contracts, and tax documentation Responsible for coordinating with various departments (e.g. Logistics, Credit, Order Management) that interface with Sales to deliver accurate and timely information that impacts business decisions Input data into the company billing system; set up customer accounts and orders, maintain orders as needed for product movements, product changes, freight changes, price changes, tax changes, etc. This includes changing high volumes of projects/orders at one time Serve as an initial point of contact for inbound sales inquiries, routing to appropriate sales or technical personnel Create and distribute letters, reports, and presentations, coordinate direct emailing, tracking and follow up, and provide customer information as requested by sales staff and other personnel Maintain state and local sales tax files; become knowledgeable of various tax regulations, monitor tax rate changes and update the billing system Maintain freight files for trucking/rail vendors; process new vendor setup, collect freight rates and fuel surcharges, update rates in the freight payable system and billing system, update and distribute freight rate/fuel surcharge reports to operations and other personnel Maintain business contacts; tracking customer, vendor, and special interest information for mass mailings and reference usage Responsible for reviewing and verifying contractual language prior to final review Maintain and update as needed written procedures for assigned duties Assist/cover duties for other office personnel as needed Any other assigned work incidental to this classification Join us in delivering exceptional service while advancing your career in a vibrant environment that values your expertise!
