Position Overview:
The role of Sales Coordinator is key in supporting Sales Manager(s) to deliver successful events and transactions. This includes managing contracts, responding to RFP/RFI requests, and coordinating all aspects of sales activities such as weddings, corporate events, and group bookings. This role has potential to grow into a more senior sales position, depending upon the individual's performance and their ability to exceed goals. Production is critical, as is the ability to work as a team with one's colleagues. Assuming both production and teamwork are illustrated, this role will grow along with the property and company. Duties & Responsibilities:
Handle sensitive and confidential information with discretion and professionalism. Communicate clearly and effectively with management, clients, and team members at all levels. Coordinate and facilitate site visits with potential clients, providing them with an engaging experience and necessary information. Prepare and detail Banquet Event Orders (BEOs), revise menus, and update event packets as needed. Serve as a liaison for social media communications related to sales and event promotions. Manage and maintain OpenTable reservations for group and event bookings. Coordinate reservations for small group dining events, ensuring seamless service and client satisfaction. Develop and maintain detailed group resumes for all events, ensuring accuracy in client and event details. Conduct regular audits of sales systems to ensure accurate revenue reporting and proper data management. Ensure all bookings meet client requirements and expectations, confirming all details are aligned. Foster positive client relationships by addressing and resolving concerns promptly and professionally. Demonstrate a proactive, "can-do" attitude in handling tasks of all sizes and responsibilities. Perform other duties as assigned. Job Requirements:
Exceptional attention to detail, organization, decision-making, and analytical skills. Self-motivated, innovative, and results-driven, with the ability to achieve both short- and long-term business goals. Excellent time management skills, capable of meeting deadlines while working flexible hours. Innovative and adaptable, with a high sense of urgency and a focus on change. Demonstrated problem-solving abilities, maintaining composure in high-pressure situations. Ability to stand and walk for 7-8 hours, climb stairs, reach, and bend as needed. Availability to work weekends, evenings, and holidays as required by event schedules. May occasionally need to lift over 25 pounds. Education and Experience:
Previous experience in sales, guest services, or event planning is preferred. Hospitality and/or exec support experience highly preferred. Proficiency in Microsoft Office Suite and sales/catering management software required.
