Full Job Description Position Summary:
The Community Service Sales Junior Representative assists the Before Need Service Sales Office Manager and Senior Counselors in the daily operations of the sales office. This position is responsible for processing daily transactions, maintaining accurate sales and licensing records, supporting sales counselors, and performing a variety of administrative tasks. The Junior Representative also handles data entry and contract processing and assists with the preparation of materials and reports for Inglewood Park Cemetery (IPC), Park Lawn Cemetery (PLC), and Roosevelt Memorial Park Cemetery (RMPC). Areas of Responsibility -Before Need Service Sales:
Assist with the processing of all cemetery salesperson and broker licenses through the Department of Consumer Affairs. Maintain files for active and inactive salespeople, including live scans, applications, and termination documentation. Prepare and maintain the Friday Park Duty Schedule forIPC/PLC/RMPC
based on Month-to-Date volume. If declined, reassign per counselor request list. Scan mortuary and pre-need contracts into the Pre-Need Shared Drive (PDF format) and PlotBox. Review and verify that all employment paperwork and sales agreements are complete and accurate. Process daily contracts, handling down payments in PlotBox and tracking them through Excel spreadsheets. Process contracts for IPC, PLC, and RMPC and complete property reservations. Distribute sales materials (contracts, brochures, support documents, and event supplies). Complete and distribute Daily Sales Reports and Month-to-Date Reports using data extracted from PlotBox. Assist with monthly balancing of sales and bonus reports with Accounting Data Analyst. Assist sales counselors with customer inquiries related to contracts, payments, and documentation. Serve as a cashier to process cash, checks, and credit card down payments for contracts and account balances for PlotBox contracts. Areas of Responsibility - Community Insurance Sales (CIS): Assemble mortuary contract folders for insurance-related services. Scan mortuary insurance contracts into the designated shared drive. Attach missing digital packages to customer files for record accuracy.Essential Duties and Responsibilities:
File and organize office documents and electronic records. Support the Community Service Sales Administrator in maintaining supplies, forms, brochures, advertising materials, and requisition requests. Assist in assembling contract packets and ensuring availability for all Community Service Counselors. Perform data entry tasks with attention to accuracy and confidentiality. Bundle and distribute internal documents and materials through company mail. Email attachments to Community Service Counselors or IT when support tickets are required. Research property and inventory availability in PlotBox when assisting Senior Counselors. Maintain supply stockroom and inventory control. Ensure accurate and timely distribution of daily and monthly reports to the sales team, managers, and senior leadership. Utilize PlotBox for electronic record processing, reservations, and account updates. Support the Office Manager, Senior Counselors, Community Service Sales Administrator, and Vice President of Sales with administrative and clerical tasks. High School Diploma or GED required Minimum two (2) years of customer service or clerical experience required Experience in a sales or administrative support environment preferredSkills and Abilities:
Type a minimum of 30 wpm. Proficient in Microsoft Word, Excel, and Outlook. Excellent verbal and written communication skills. Strong organizational and time-management skills. Ability to work independently and collaboratively in a fast-paced environment. Positive, professional, and customer-focused attitude. Bilingual in Spanish is a plus.Machinery and Equipment Used:
