We've served the Napa Valley for almost 50 years. Through excellent reputation we've maintained wonderful customers and year-round full schedules. Our office team is the backbone of our business — well trained, respected and team-oriented. We hold our team to high expectations for professionalism, reliability, organization and communication. If you're motivated and bring a good attitude to work with you every day, you'll do great here. This role supports the administration of the business and keeps our service and install schedules running smoothly. You'll be the first voice our customers hear — answering calls, booking appointments, and following up on estimates to turn quotes into booked jobs. If you're organized, personable on the phone, and want to work for a company that respects your time and skills, we'd like to meet you. What You'll Do Answer inbound customer calls promptly and professionally Schedule service calls, maintenance visits, and installations Assist customers with inquiries about services, pricing, and appointment status Follow up on outstanding estimates and quotes to help customers move forward Book installs and coordinate scheduling between customers and our field team Keep customer records accurate and up to date in our scheduling software Support the office team with day-to-day administrative tasks Represent Reliable Heating and Air professionally in every customer interaction What We Require 2+ years of customer service, inside sales, or office administration experience (home services or trades industry a plus) Excellent phone presence — friendly, clear, and professional Strong organizational skills and attention to detail Comfortable using scheduling software, computers, and multi-line phones Ability to multitask in a fast-paced office environment A team-first attitude and willingness to pitch in where needed Must be local or able to commute to our Napa office daily Bilingual preferred Experience with HouseCallPro preferred What We Offer Competitive hourly pay, based on experience Paid time off (PTO) Health insurance 401(k) Stable, year-round work in the Napa Valley A supportive, team-oriented office culture Monday-Friday schedule — we respect your evenings and weekends Don't miss this opportunity to join our team at the best HVAC Company in Napa Valley!
