Working closely with the Accounting & Operations Support Specialist and cross-functional teams, this role ensures a seamless customer experience by coordinating customer communications, processing orders, maintaining CRM records, supporting executive leadership, and keeping projects on track. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced manufacturing environment. Key Responsibilities Sales Administration & Customer Support
- Coordinate customer communications, follow-up activities, and timely responses to inquiries, requests, and project updates
- Manage order administration, including machine allocation, inventory assignments, and ensuring complete and accurate order documentation
- Track order status, fulfillment schedules, and customer deliverables from order through installation and project completion
- Coordinate activities and communications between customers, sales, operations, accounting, and service teams to ensure seamless project execution
- Communicate installation schedules, project timelines, milestones, and other project-related updates to customers while maintaining visibility into customer commitments and expectations
- Maintain accurate shipment records, logistics documentation, tracking data, and customer communications within company systems and CRM platforms. Executive & Operational Support
- Provide day-to-day administrative support to the VP of SDS Automation and Operations Management
- Coordinate meetings, schedules, and follow-up actions
- Prepare reports, summaries and internal communications Customer Service & Communication Support
- Serve as a primary customer contact alongside the Accounting & Operations Support Specialist, delivering responsive and professional customer service
- Create and manage technical support cases and service requests
- Manage inbound customer communications across multiple channels, including emails, website inquiries, support tickets, voicemails, and phone calls, ensuring prompt response, proper routing, and follow-up tracking Office Administration
- Open, sort, and distribute incoming mail
- Organize staff lunches and company events
- Manage office, kitchen, and snack supply inventories
- Order office supplies and maintain inventory levels Additional Duties
- Perform other operational and administrative duties as needed Qualifications Required
- 2+ years of experience in sales and operations support, logistics, project coordination, customer service, or administrative support
- Strong organizational, time management, and multitasking abilities
- Excellent verbal and written communication skills
- Advanced proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and Teams
- Ability to work independently while managing multiple priorities
- Professional customer service mindset with strong follow-through skills
- Self-starter with a proactive, problem-solving approach Preferred
