Job Description

We are seeking a highly organized, customer-focused Scheduling and Inside Sales Assistant to support daily scheduling, customer communication, and inside sales activities for a construction company. This role serves as a key point of contact for homeowners, contractors, vendors, and internal team members by coordinating appointments, supporting estimates and proposals, following up on leads, and helping keep projects and sales opportunities moving efficiently. The ideal candidate is professional, detail-oriented, comfortable communicating by phone and email, and able to balance customer service with administrative and sales support responsibilities in a fast-paced construction environment. Key Responsibilities Schedule and confirm sales appointments, site visits, estimate meetings, installations, and service calls. Answer inbound calls, emails, and messages from customers, vendors, and field personnel in a professional and timely manner. Support inside sales efforts by following up on leads, qualifying prospective customers, and helping move bids and proposals through the sales process. Maintain accurate customer records, job details, scheduling updates, and sales activity in company systems or CRM software. Coordinate with project managers, estimators, sales representatives, and field crews to ensure appointments and job schedules are aligned. Assist with preparing estimates, proposals, contracts, work orders, and other sales or project-related documents. Conduct outbound follow-up calls to confirm appointments, reengage past leads, and support customer retention efforts. Resolve scheduling conflicts and communicate changes clearly to customers and internal team members. Track daily activity, lead follow-ups, appointment outcomes, and pending tasks to support company sales and production goals. Provide excellent customer service while helping improve scheduling efficiency, close opportunities, and support successful project execution. Required Qualifications High school diploma or equivalent required; associate degree or related coursework preferred. Previous experience in customer service, office administration, scheduling, inside sales, construction administration, or a related role. Strong verbal and written communication skills with the ability to interact professionally with customers and field teams. Excellent organizational skills and attention to detail. Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced environment with changing schedules. Proficiency with Microsoft Office and comfort learning scheduling, estimating, or CRM software. Professional phone manner and strong interpersonal skills. Ability to work independently as well as collaboratively with sales, operations, and project teams. Preferred Qualifications Experience working in construction, home services, building materials, or a related industry. Familiarity with estimating processes, bid follow-up, and CRM or job management platforms. Confidence making outbound calls and supporting customer follow-up activities. Experience preparing estimates, invoices, contracts, or customer correspondence. $33,280.00 - $39,520.00 per year
