The Catering Sales & Event Coordinator serves as the primary client-facing representative for the catering department and acts as the direct support partner to the Catering Operations Manager. This position is responsible for generating new business, maintaining client relationships, coordinating event details, and helping ensure the successful execution of all catering events. The role functions as a key communication link between clients, the catering team, kitchen staff, vendors, and operations personnel. This individual is expected to guide clients through the event planning process, serve as the main point of contact before and during events, and help coordinate all details necessary for smooth and successful event execution. The ideal candidate is highly organized, customer-focused, sales-oriented, and capable of managing multiple events and client relationships simultaneously in a fast-paced hospitality environment.

Responsibilities Client Relations & Sales Serve as a primary point of contact for catering clients from initial inquiry through event completion. Event Coordination & Planning Coordinate event details including timelines, guest counts, menus, dietary accommodations, setup requirements, and service expectations. Communicate all finalized event details accurately to the Catering Operations Manager, kitchen staff, and service teams. Maintain organized event records, schedules, and operational documentation. Confirm event details with clients and vendors prior to scheduled functions. Assist in developing event timelines and operational plans to support smooth execution. Help monitor event readiness and ensure all necessary arrangements are completed in advance. Operational Support Work closely with the Catering Operations Manager to support overall department organization and event success. Assist with staffing coordination, event preparation, and operational follow-through as needed. Serve as an on-site contact during events when necessary to support clients and staff. Help resolve client concerns, last-minute requests, or operational issues in a professional and timely manner. Ensure communication between front-of-house, kitchen, vendors, and clients remains clear and organized. Support post-event follow-up including client feedback and satisfaction reviews. Administrative Responsibilities Maintain accurate client files, contracts, invoices, and event records. Assist with billing coordination, deposits, and payment tracking. Update catering calendars, event schedules, and operational systems. Support marketing initiatives, social media promotion, and community outreach efforts when applicable. Help maintain organized sales and event documentation for reporting purposes. Required Qualifications 2-5 years of experience in catering, hospitality sales, event coordination, banquet operations, or customer service. Strong interpersonal, communication, and relationship-building skills. Excellent organizational and multitasking abilities. Ability to manage multiple clients and event timelines simultaneously. Professional appearance and customer-service-oriented attitude. Strong problem-solving and conflict-resolution skills. Ability to work flexible schedules including evenings and weekends as required by events. Preferred Qualifications Experience in catering sales or event planning preferred. Familiarity with catering management software, CRM systems, or event planning platforms preferred. Hospitality, Marketing, Communications, or Business background preferred. Combination of office work, client meetings, and on-site event coordination. Requires evening, weekend, and holiday availability based on event schedules. Frequent communication with clients, vendors, and staff throughout the event process. Develop and maintain strong relationships with corporate clients, private customers, venues, and community organizations. Generate new catering business through networking, referrals, outreach, and relationship-building efforts. Respond promptly to client inquiries regarding menus, pricing, availability, and event services. Prepare catering proposals, contracts, event summaries, and client communications. Conduct client consultations, planning meetings, and venue walkthroughs as needed. Assist clients in selecting menus, service styles, rentals, and event logistics that meet their needs and budgets. Support the achievement of department sales goals and revenue targets. Pay:
